Job Purpose & Summary:

Provide excellent client care through timely and accurate execution of requests/resolution of queries. Strengthen the service of the JMMB Investments Trinidad and Tobago Team by providing administrative support. Services to be executed professionally in keeping with the JMMB ethos. Promotes the JMMB’s Vision of Love and its unique culture. Engage in the process for the continuous improvement.

 

Key Responsibilities:

Non-trades

  • Timely and accurate execution of Put-through requests
  • Timely and accurate execution of inter-transfer and intra-transfer requests
  • Deposit certificate lodging
  • Timely and accurate transfers between brokers including voucher preparation
  • Update Equity request log daily
  • Client lost certificate action and resolution
  • Liaise with brokers, Trinidad and Tobago Central Depository and agents
  • Pledge securities with the Trinidad and Tobago Central Depository
  • Update of client KYC with the Trinidad and Tobago Central Depository
  • Update of Non-Trade Requests Log
  • Providing letters and communication to the Central Bank for all “Non-Trade” related transactions as required.

Client Requests

  • Timely and accurate preparation of Client Statements
  • Timely and accurate preparation of Audit Confirmation Letters
  • Timely and accurate preparation of Embassy Letters
  • Timely resolution of client queries related to equity deposits

 File Management

  • Timely and accurate filing of all documents in client files
  •  Record the movement of all files in and out of the Filing Room
  •  Ensuring that the Filing Room is always kept in a tidy and orderly manner.
  •  Archiving of files and other records to file external storage
  •  Destruction of records past retention timeframes

Reporting

  • Timely and accurate preparation of monthly exception report (Equity System vs. Depend)
  • Timely and accurate preparation of quarterly security records to comply with regulatory requirement for submission to the Trinidad and Tobago Stock Exchange

Supply Management

  • Purchase order preparation and submission to providers
  • Stationary purchase, coordinate distribution and management
  • Manage of other office supplies

Facilities Liaison

  • Liaise with the  Administration Department and External Contractors to facilitate repairs.
  • Facilitate Site Visits
  • Activation and distribution of team member access passes
  • Any other related duties as may be assigned from time to time.

Required Qualifications (education & Certificate)

  • Associates Degree in Finance, Economics, Banking or Business Administration
  • Bachelor’s Degree in Finance, Economics, Banking or Business Administration will be an asset 

Experience 

  • At least three (3) years working experience in Investment, Operations and a Client service environment within the financial sector.
  • Basic awareness of the financial sector instruments, laws, regulations, ethics and professional jargon would be a distinct asset.
  •  Experience in the use of office equipment such as telephone, computer, photocopier, and facsimile

Skills

  • High level of proficiency in the use of computers, particularly word processing and spreadsheets.
  • Proficiency in oral and written communication skills
  • High level of accuracy and a keen attention to details
