To assist and maintain and provide the Purchasing and Logistics functions within the Company.

 

Job purpose

 

The Procurement & Logistics Coordinator will assist and support the activities of the Purchasing and Logistics functions within the Company.

 

Duties/Responsibilities:

  • Generating Purchase Orders via Peachtree/ Katana. Reviewing, preparing, and routing purchase orders both Local and Foreign
  • Tracking of all shipments Local and Foreign, (Import and Export)
  • Updating weekly GIT File ensuring it is sent to all relevant personnel.
  • Organizing and managing transportation of shipping containers for both Import and Export.
  • Liaising with Export Broker to ensure timely deliveries of Exports. 
  • Creation and maintenance of Import files and records.
  • Insurance documentation for all Incoming documents.
  • Ensuring the safe and timely pick-up and delivery of shipments to reduce rent or demurrage.
  • Acting as a liaison between the Broker and the Company for all Customs related payments and charges, ensuring timely payments.
  • Addressing and resolving shipment and purchasing issues.
  • Weekly reporting to Manger on outstanding shipments to be cleared and deadlines as well as pending Exports.
  • Liaising and negotiating with suppliers and retailers.
  • Maintains knowledge of trends, prices, buyers, and delivery conditions to anticipate future material availability.
  • Negotiates and completes contracts with vendors for optimal cost and delivery times.
  • Collaborates with sales, customer service, and production to maximize efficiency in the purchasing and inventory control department using MRP Software available.
  • Communicates with suppliers to resolve problems that may arise regarding delivery, quality, price, or conditions of sale.
  • Negotiate best prices and terms with brokers and freight forwarders
  • Responsible for submittal of Reports (Chemical Returns) to governing bodies (Ministry Of Health)
  • Performs other duties as assigned.

Qualifications

  • At least a diploma in Business or related field with Specialization in Purchasing, or Logistics
  • At least five years of buying or purchasing experience required with supervisory experience.
  • Experience with budget management, and ability to make rational decisions
  • Attention to detail to verify quotations, prices and shipping documents
  • Familiar with shipping terms, and documentation
  • Proficiency with Microsoft Office Applications
  • Excellent organizational skills, as well as the ability to multi-task and prioritize.
  • Strong oral and written communication skills.
  • Self-motivated and detail oriented.

Working conditions

  • Prolonged periods of sitting at a desk and working on a computer.
  • May be asked to travel to visit vendors or different company locations.
  • Warehouse visits would be necessary from time.

Physical requirements

Sit for extended periods of time at a desk.
