The Human Resource Assistant is responsible for supporting the HR department in providing day-to-day Human Resource (HR) and administrative support geared towards assisting in the achievement of the HR and financial objectives throughout the organization.

This role is established for an initial contract for a period of 6 months after which the consider the options for maintaining this role in a permanent capacity.

The Human Resource Assistant is responsible for supporting the HR department in providing day-to-day Human Resource (HR) and administrative support geared towards assisting in the achievement of the HR and financial objectives throughout the organization.

 

KEY ACCOUNTABILITIES AND RESPONSIBILITIES

  1. Maintains accurate and up-to-date human resource files (digital and physical), records, and documentation including conducting file audits.
  2. Assists in the recruitment and selection process including preparing ads, shortlisting candidates, scheduling interviews, reference checks, etc.
  3. Assists with performance management procedures including maintaining performance review schedules.
  4. Coordinates HR projects (meetings, training, surveys etc), take minutes and assists with planning and execution of special events such as townhalls, employee recognition events, holiday parties etc.
  5. Respond to frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to the HR Manager.
  6. Oversees the coordination of employee benefits.
  7. Conducts and/or assist with staff orientation, on-boarding, training, and exit interviews.
  8. Provides clerical and administrative support to the HR department including processing documentation, preparing and submitting reports relating to HR activities (staffing, recruitment, training, grievances, performance evaluations etc).
  9. Provides payroll information by collecting time and attendance records and notifying promptly about staff changes.
  10. Maintains the integrity and confidentiality of human resource files and records.
  11. Performs other duties as assigned.

 

MINIMUM QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s Degree in Human Resource Management or equivalent qualification.
  • 2 years’ experience in an HR environment or in a similar capacity.
  • Strong grasp of employment laws and industrial relations best practices.

 

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Strong verbal, written, organizational, and research skills.
  • Strong interpersonal and conflict management skills.
  • Ability to work well with others cohesively with a positive and team-oriented approach.
  • Experience in creating effective verbal and written presentations.
  • Familiar with basic Human Resource Practices.
  • Excellent business writing skills.
  • Ability and willingness to work simultaneously on a wide range of tasks and projects and ability to prioritize tasks.
  • Problem-solving and solution-oriented ability.
  • Professionalism in all interactions as it relates to the operations of the company and interactions with members of staff as well as external parties.
  • High levels of time management, critical thinking, availability, reliability, responsiveness and commitment to the fulfillment of the departmental agenda.
  • Proficiency in MS Office applications: Outlook/Word/Excel/PowerPoint.
