The Accounting and Finance Manager oversees the day-to-day activities of the accounting department. This position supports the organization by managing staff as well as planning, organizing, and implementing accounting, financial, administrative, inventory and human resource systems.

Supervises:                   Accounting Staff, Indirect supervision of Administrative and Human Resource staff             

Works Closely With:   Operations Manager, Sales and Customer Service Teams

 

Position Description:

The Accounting and Finance Manager oversees the day-to-day activities of the accounting department. This position supports the organization by managing staff as well as planning, organizing, and implementing accounting, financial, administrative, inventory and human resource systems.

 Major Areas of Responsibility

  • Oversight of day-to-day activities of the accounting department
  • Ensure completeness and accuracy of all financial records
  • Evaluate financial data and prepare reports for review by internal and external stakeholders.
  • Collaborate with other department managers to develop policies, strategies and budgets to maintain financial stability and internal controls.
  • Liaise with external audit teams
  • Ensure timely and accurate filing of returns, statutory payroll taxes, EPL etc.
  • Remain informed and up-to-date on latest financial and accounting industry updates
  • Manage personnel recruitment, training, evaluation and discipline.
  • Any other duties as may be assigned from time to time

 Specific Responsibilities of the Job:

 ACCOUNTS

  • Manage the daily operations of the accounting department including month and year-end processes, accounts payables and receivables, cash receipt, general ledger, payroll, cash flow, credit management etc.
  • Establish, monitor and enforce best practice accounting systems, policies, procedures, and work schedules.
  • Maintain oversight of the posting of journals, accruals, depreciation schedules and bank reconciliations.
  • Ensure completeness and accuracy of all financial records
  • Develop and enforce adequate controls for all activities such as maker-checker and dual custody.
  • Ensure the accuracy of costings of inventory, raw materials, packaging & finished goods.
  • Ensure that all statutory and recurring deadlines are met.
  • Prepare periodic management reports.
  • Effectively manage internal & external audit processes including inventory counts.

FINANCE

  • Create and implement budgeting, reporting and forecasting plans to ensure that the profitability of the organization is optimum at all times.
  • Develop strategies and plans for the long-term financial goals of the organization.
  • Provide financial insight and analysis geared towards improved financial performance.
  • Monitor various business and financial metrics
  • Identify any potential risks to the organization’s financial health.
  • Provide advice to directors in the making of financial decisions.

ADMINISTRATIVE & OTHER

  • Accomplish staff results by: communicating job expectations, planning, monitoring and appraising job results, coaching, counselling, and disciplining employees.
  • Conduct staff recruitment and orientation.
  • Develop, implement and maintain policies and procedures to ensure effective, fair and consistent management of staff throughout the organization.
  • Schedule and delegate the duties and responsibilities of support staff
  • Maintain continuity amongst departments by identifying organizational deficiencies, making recommendations and implementing corrective actions where needed.
  • Periodic travel between locations, to external customers, agencies and stakeholder’s in furtherance of mandate.
  • Approve purchase orders within agreed limits.

  SPECIAL CONDITIONS ASSOCIATED WITH THE JOB:

  • Periodic exposure to dust, noise and irritating fumes;
  • Required to move and lift objects up to 30lbs
  • Required as is necessary, to wear personal protective equipment (PPE) inclusive of, but not limited to, safety shoes (steel toe), respirators, hard hats, goggles, face shields, earmuffs/plugs, gloves, aprons, lab-coats.

JOB SPECIFICATIONS

QUALIFICATION AND EXPERIENCE REQUIRED:

  • ACCA level 3 or Masters in Accounting or equivalent qualification
  • Minimum 5 years of experience in a senior managerial position
  • Strong interpersonal and negotiation skills
  • Excellent verbal and written communication skills
  • Advanced computer skills
  • Ability to develop strong trusting relationships in order to gain support and achieve results
  • Manage multiple conflicting priorities
  • Ability to interact with employees and other stakeholders at all levels
  • Be self-directed and motivated
  • Take initiative to identify and anticipate needs and make recommendations for
  • Possess a valid driver’s license
  • Own and operate a reliable motor vehicle

SPECIFIC SKILLS AND COMPETENCES REQUIRED:

  • Sound knowledge of internal controls and best practices,
  • Good inter-personal skills and ability to work well in teams.
  • Required to be able to perform multiple tasks;
  • Good oral and written communication skills
  • Being able to perform tasks with a sense of urgency
