Position Scope:
The Team Leader Courier (TLC) has supervisory and administrative responsibilities for the Courier department’s day-to-day operational activities which includes Hummingbird Express International Courier Service, Hummingbird Express Online Shopping Service, local pickups, receiving, reconciling, sorting and dispatching of all items passing through the courier delivery network. The position has oversight on, and operational responsibility for ensuring the provision of an effective service level to both internal and external customers in accordance with established standards. TLC is also responsible for supervision of couriers and shuttle drivers and administrative responsibilities of the staff within the unit based at The National Mail Centre and the Tobago Hub
Key Duties And Responsibilities:
Supervises the assigned workforce, monitoring, appraising, motivating and disciplining as required.
Responsible for the preparation of time and attendance reports for the Courier staff within the department and submit same monthly to the Human Resource Division.
Collate and prepare reports for payment of allowances, Temporary Relief Officers’ salaries and payment for external couriers.
To ensure all data generated is captured and stored both hard copy and digitally.
To ensure staff rosters and working hours are in alignment with the Corporations’ policies.
To assist the Product Manager & Express Service in the development of performance indicators and appraisals for the staff within the department.
To ensure that external customers emails/calls/queries/issues are promptly handled based on established guidelines.
Responsible for ensuring that the couriers’ vehicles comply with their contractual terms and the laws of Trinidad and Tobago regarding roadworthiness, inspection and insurance certification.
Attend meetings, conferences, and forums relative to Courier activities.
Responsible for the preparation of purchase requisition forms for the Courier department.
Assist the Product Manager & Express Service to ensure internal customers’ issues or deliverables are promptly and effectively dealt with according to established standards.
Review for accuracy and collate all invoicing or relevant documentation from suppliers/contractors monthly.
To prepare all required weekly and monthly reports accurately and submit same to the Product Manager Courier & Express Service.
To ensure that all staff comply with the unit’s stated processes and procedures.
To ensure all vehicles and equipment assigned to the department are in good working order and the necessary check list logs are completed as required.
To continuously assess the unit’s productivity efficacy of its processes and procedures and make recommendations of amendments.
Assist the Product Manager & Express Service in refining the internal processes and procedures to improve integrity, efficiency and effectiveness in consultation with other stakeholders and staff.
Obtain and evaluate feedback from stakeholders, customers and staff, analyses information captured and prepare a report for the attention of the Product Manager & Express Service.
Ensure a high degree of customer care and service is provided by staff to external and internal customers.
Assesses training and certification needs of staff and makes recommendations to eliminate the gap.
Performs other related tasks that may be required by the job function.
Education:
First Degree or Diploma in Management or related field.
Valid driver’s permit (class 4)
Valid defensive driving certificate
Experience:
At least three (3) years’ experience in supervising an operations team
Experience in Courier or related field will be an asset.
Project management, planning and scheduling experience will be an asset.
