The Accounts Administrative Assistant is responsible for performing routine clerical, bookkeeping, accounting, and administrative work in administering the accounts function.

Overview / Responsibilities

Massy Wood is currently recruiting for an Accounts Administrative Assistant with experience in the Oil and Gas Industry.

 

The Accounts Administrative Assistant is responsible for performing routine clerical, bookkeeping, accounting, and administrative work in administering the accounts function.

 

Key Duties:

  • Enters expense/receivable data on ledgers, control sheets, vouchers, or other accounting records; enters accounts payable expenses into financial system.
  • Inputs budgetary data into financial accounting system.
  • Maintains accounts payable and encumbrances for contracts in progress.
  • Assists in reconciling general ledger to various expenditure reports.
  • Prepares periodic financial, statistical or operational reports as assigned.
  • Assists in maintaining a daily cash balance and balancing cash on hand against receipts.
  • Assists in preparing and balancing deposits.
  • Reviews all invoices for appropriate documentation and approval prior to payment.
  • Prints and obtains signatures on all accounts payable checks and ACH.
  • Distributes signed checks and ACH as required.
  • Cross checks per reports from payroll.
  • Maintains all accounts payable reports, and corporate accounts payable files.
  • Assists in monthly closings.
  • Prepares reconciliations of Suppliers’ Accounts on a quarterly basis or more frequently as required.
  • Prepares analysis of accounts, as required.
  • Performs filing and copying.
  • Perform all other related job functions as required.

Skills / Qualifications

  • Certified Accounting Technician (CAT) or Associate of Accounting Technicians (AAT) or Associate of Chartered Certified Accountants (ACCA) Level I.
  • A minimum of one (1) year experience in a similar position.
  • Good communications and interpersonal skills.
  • Maintains the highest level of confidentiality and trustworthiness.
  • Ability to work effectively and prioritize in a high performance, fast-paced work environment.
  • Accepts feedback well.
  • Seeks ways to improve and promote quality and demonstrates accuracy and thoroughness.
  • Actively promotes and personally observes safety and security procedures and uses equipment and materials properly.
  • Intermediate computer skills with experience in MS Office and Finance software packages.
