The general purpose of this job is to greet the customers and answer all calls incoming/outgoing. Providing basic information on product and services to existing and potential clients.

What You'll Be Doing

  • Answering calls from multi-line phone system; 
  • Screening and directing calls as needed
  • Serves visitors by greeting, welcoming, and directing them appropriately; after notifying company personnel; Assist personnel using the printer/copier/scanner 
  • Receiving and delivering all incoming and outgoing mail and packages; 
  • Scheduling meetings; 
  • To include assistance with refreshments when required; 
  • Manage office equipment; Procurement and management of stationery supplies for the managerial floor, and medicinal items for Emmaville personnel; 
  • Provide administrative support to Airport team; 
  • Procurement of tea & cleaning supplies (KIN) office furniture and other items as needed (KIN and SIA);
  • Preparation of letters, and memorandums for payments; 
  • Updating forms used in the daily Operations; 
  • Maintain updated record of contact of internal personnel as well as frequent vendors/suppliers; 
  • From time to time, assists with general procurement and preparation of payment memorandums  
  • Submission of payment records to Finance team 
  • Copying documents submitted and recording details regarding collection
  • Assists with payment follow-up 
  • Keep accurate record of items distributed – physical and electronically  
  • Maintain a clean and presentable lobby area 
  • To include ensuring water cooler is fully stocked 

Critical Qualifications/Competencies

  • Minimum 5 CXC to include Maths and English Language
  • At least one year experience in Front Desk Operations
  • Working knowledge in Microsoft Office Suite
  • Highly Customer Service Oriented
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Ability to communicate effectively both orally and in writing
  • Directs visitors by maintaining employee and department directories; giving instructions.
  • Extremely Detail Oriented and Organized
  • Strong Time Management Skills                                              
  • Strong Interpersonal Skills
