The incumbent will be responsible for providing clerical support to the Warehouse Manager, which includes maintenance of the department databases and providing support with all warehouse administrative tasks.
Duties & Responsibilities:
o Perform administrative functions such as developing and maintaining department databases,
prepare routine reports as well as development of SOPs and checklists;
o Maintenance of both electronic and physical records and databases;
o Updates and maintains departmental training records, vacation, absenteeism and tardiness logs;
o Prepare meeting minutes, time sheets, memorandums, purchase requisitions and payment
vouchers when required;
o Collecting data and creating monthly metrics reports;
o Assist with sourcing warehouse related materials, equipment and/or contractors (as required);
o Orders and maintains office supplies;
o Assist with planning and organizing of department employee training, team building and
recognition events;
o Assists with recording of departmental expenses to minimize departmental costs, including
overtime;
o Assists with reviewing records for adherence to stock rotation protocols for all materials and
products, as well as maintaining adequate records for traceability as per quality requirements;
o Assists with conducting and recording findings of warehouse inspections;
o Preparing Goods Received Notes (GRNs) and updating GRN logs for all incoming shipments
within 24 hours of receipt of materials into CGA (as required);
o Updating stock sheets, inventory procedures and assisting with stock-taking as required;
o Be knowledgeable of all warehouse operations, protocols and activities;
o Conforms to all established departmental and company policies, procedures and objectives,
GMPs, food safety and HSE site protocols;
o Train as an alternate for the Warehouse Attendant II and Assistant Supervisor positions.
o Undergo any job-related training required by the company;
o Performs other related tasks and responsibilities as required by the Warehouse Manager.
