Title of Job:                  Administrative & Accounting Manager

Reports To:                  Managing Director

Supervises:                 Accounting Staff, Procurement Officer. Indirect supervision of Admin & HR Staff

Works Closely With:   Managing Director, Operations Manager, Sales and Customer Service Teams

 

Position Description:

The Administrative and Accounting Manager is responsible for the management of the day to day administrative, accounting, finance and personnel related functions of the organization.

This position supports smooth operations by managing staff as well as planning, organizing, and implementing accounting, financial, administrative and human resource systems.

Major Areas of Responsibility

  • Manage Accounts Receivables and Payables.
  • Verify invoice accuracy and maintain internal controls 
  • Ensure inventory costings remain up to date.
  • Supervise inventory updates. 
  • Develop and implement long-term financial strategies.
  • Review company financial reports and optimize profitability.
  • Enforce organizational policies, procedures, and schedules.
  • Accomplish staff objectives through coaching and monitoring.
  • Maintain interdepartmental continuity, identifying and rectifying deficiencies.
  • Oversee support staff duties and responsibilities.
  • Ensure compliance with controls, credit limits, and statutory deadlines.
  • Manage internal and external audits, including inventory counts.
  • Facilitate recruitment, orientation, and HR policy implementation
  • Travel between locations.
  • Liaise with external stakeholders.
Specific Responsibilities:
  • Organize and supervise all of the administrative activities that facilitate the smooth running of the organization.
  • Develop strategies and plans for the long-term financial goals of the organization.
  • Review company financial reports and seek ways to reduce costs.
  • Prepare income, recurring expenditure and capital budgets and adjust accordingly to ensure that the profitability of the company is optimum at all times.
  • Provide advice to directors in the making of financial decisions.
  • Establish, monitor and enforce systems, policies, procedures, and work schedules.
  • Accomplish staff results by: communicating job expectations, planning, monitoring and appraising job results, coaching, counselling, and disciplining employees.
  • Maintain continuity among departments, by identifying organizational deficiencies, making recommendations and implementing corrective actions where needed.
  • Periodic travel between locations, to external customers, agencies and stakeholders in furtherance of mandate.
  • Schedule and delegate the duties and responsibilities of the department 
  • Ensure and enforce adequate controls for all activities such as maker-checker and dual custody.
  • Ensure customers’ credit limits, credit terms and accounts receivables balances are kept within prescribed limits.
  • Ensure the accuracy of costings of inventory, raw materials, packaging & finished goods.
  • Approve purchase orders within agreed limits.
  • Check and approve supplier’s invoices and schedule payments.
  • Ensure that all statutory and recurring deadlines are met.
  • Prepare periodic management reports.
  • Manage posting of journals, accruals and depreciation schedules & processing of bank reconciliations.
  • Effectively manage internal & external audit processes including inventory counts.
  • Facilitate staff recruitment and orientation.
  • Develop, implement and maintain HR policies and procedures to ensure effective, fair and consistent management of staff throughout the organization.
  • Ensure that human resource records are accurately maintained.
Special Conditions:
  • Periodic exposure to dust, noise, and fumes.
  • Ability to move and lift objects up to 30 lbs.
  • Requirement to wear personal protective equipment (PPE) as necessary.

Required Qualifications and Experience:

  • ACCA level 3 or Masters in Accounting or equivalent qualification.
  • Minimum 5 years of senior managerial experience.
  • Strong interpersonal, negotiation, and communication skills.
  • Advanced computer proficiency.
  • Ability to manage conflicting priorities and tasks with urgency.
  • Self-directed, motivated, and proactive.
  • Valid driver’s license
  • Own and operate a reliable vehicle.

  • Proficiency in internal controls and best practices.
  • Excellent leadership ability
  • Ability to interact with employees and other stakeholders at multiple levels
  • Effective oral and written communication skills.
