Responsible for overseeing the day-to-day activities of the South branch of the National Lotteries Control Board.

Primary Duties and Responsibilities

1. Maintains a key to the safe

  • Supervisor maintains a key to the safe, which is used, together with a key from the Security Officer, to open the safe daily. 
  • Supervisor returns the key to the Security Officer at the end of the day where it is kept overnight at the Port of Spain Office.

2. Signs cheques

  • Supervisor can sign cheques to Agents.  The splitting of cheques is strictly prohibited. 

3. Prepares payments to Customers

  • Daily the Supervisor retrieves cheques and signature keys from the safe where they are stored.
  • When a claim is entered on ES Dashboard by the Accounts Clerk, the Supervisor accepts the Tickets, the Ticket Count Form, the Cash Receipt and the customer ID from the Clerk and verifies the documents against the claim on the ES Dashboard. 
  • Supervisor approves the claim on the Dashboard, then manually enters the cheque number on the system. The Accounts Clerk verifies the manually entered cheque on the system and enters ‘Send’ to send the cheque to the printer.
  • Supervisor attaches the cheque to the documents and returns the documents to the Accounts Clerk who issues the cheque to the customer who signs for receiving the cheque.
  • At the end of the day the Supervisor receives the End of Day Online Payouts Report together with all the supporting documents from the Accounts Clerk, verifies and approves the Report and forwards the Report and supporting documents to the Data Entry Clerk at Head Office for input to Great Plains.
  • Supervisor ensures the cheques are all accounted for and are used sequentially. 
  • All cancelled cheques must be approved by the Supervisor, upon verification of documents. 
  • Transactions to be voided are approved by the Supervisor upon verification of documents.
  • At the end of the day the Supervisor stores the cheques and signature keys in the safe for safe-keeping and returns a key to the Security Officer.

 4. Prepares banking daily

  • Receives cash, cheques and receipts prepared by the Validation Clerk.
  • At the end of each day places all cash and cheques collected into a night deposit bag, after verifying against the Till Book.
  • Completes a deposit slip in triplicate, initials the deposit slip together with the Accounts Clerk and places the deposit slip in the night bag.
  • Seals the night bag and delivers to the Security Officer who issues a receipt and deposits the bag at the authorized bank’s night depository.

 5. Verifies stock on hand

  • Approves Requisition Form for IMG stock and checks stock on arrival from Head Office.  Verifies against stock sheet ensuring stock is accurately recorded.
  • At mid-month and at month end, verifies and approves the stock counts performed by the Accounts Clerk and ensures it agrees with the stock records.
  • Forwards the month end stock count to Head Office by the 1st of the following month.

 6. Approves requisition or purchase of stationery and kitchen items monthly.

 7. Performs any other related duties assigned by Management.

 

Minimum Required Knowledge, Skills and Abilities

  • BSc in Management or Accounting.
  • At least five (5) years supervisory experience
  • Excellent oral and written communication skills.
  • Proficient in the use of Microsoft Excel, Word and Access.
  • Equivalent combination of experience and training will be considered.
