Position: Office Administrative Assistant

Position Overview: As the Office Administrative Assistant, you will play a pivotal role in ensuring the smooth and efficient operation of our office. You will be responsible for a diverse range of tasks, including HR support, office administration, and assisting the General Manager (GM). This multifaceted position offers an exciting opportunity for growth and development within our organization.

Key Responsibilities:

  1. Human Resources Support:
  • Assist in the recruitment process, including posting job listings, conducting initial screenings, and coordinating interviews.
  • Maintain employee records and ensure compliance with HR policies and procedures.
  • Assist in onboarding and orientation for new employees.
  • Manage employee benefit programs and assist with payroll as needed.
  1. Office Administration:
  • Oversee daily office operations, including managing office supplies, equipment, and facilities.
  • Handle incoming calls, emails, and correspondence, and direct them to the appropriate personnel.
  • Organize and schedule meetings, appointments, and conferences.
  • Maintain and update company files, documents, and records.
  1. Assisting the GM:
  • Provide high-level administrative support to the General Manager, including managing their calendar, scheduling meetings, and preparing reports.
  • Assist in preparing presentations, documents, and correspondence on behalf of the GM.
  • Undertake special projects and research tasks as assigned by the GM.
  1. General Administrative Tasks:
  • Assist in maintaining a clean and organized office environment.
  • Handle travel arrangements and accommodations for employees when necessary.
  • Collaborate with other departments and team members to ensure seamless operations.

Qualifications:

  • Minimum of 2 years of experience in office administration or HR support.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to maintain strict confidentiality and handle sensitive information.
  • High attention to detail and accuracy.
  • Proactive and adaptable, with the ability to multitask effectively.
  • Bachelor's degree in business administration, human resources, or a related field is a plus.
