Location: Kingston, Jamaica

Position Overview:

As the Administrative Assistant to the Director of Finance and Administration, you will play a pivotal role in ensuring the smooth operation of the Finance and Administration department. You will be responsible for providing administrative and organizational support to the Director of Finance and Administration, all while upholding the highest level of professionalism and confidentiality.

 Key Responsibilities:

  • Act as a liaison between the Director of Finance and internal/external stakeholders.
  • Manage the Director of Finance's calendar, schedule appointments, and coordinate meetings.
  • Prepare and edit financial reports, presentations, and documents.
  • Handle confidential financial information with the utmost discretion and professionalism.
  • Assist in project management and follow-up on action items.
  • Exhibit polite and professional communication in person, via phone and e-mail.
  • Provide information by answering questions and requests.
  • Carry out administrative duties such as typing, copying, scanning etc.
  • Maintain an organized filing system.
  • Record information, update paperwork, maintain documents, and word processing.
  • Collaborate with team members ensuring the timely completion of daily, weekly, and monthly tasks.
  • Perform general administrative tasks to ensure the department's efficiency.

Qualifications:

  • A Bachelor’s degree in Business Administration or Finance.
  • A minimum of 2 years of administrative experience, preferably in a finance-related role.
  • Strong organizational and time management skills.
  • Detail oriented
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • High level of discretion and integrity when handling confidential information.
  • Ability to work independently and collaboratively in a team.
  • Attention to detail and a commitment to delivering high-quality work.
  • Knowledge of financial terminology and concepts is a plus.
