Executive Assistant

Job Summary

Supports the co-ordination of workflows within the office of the Managing Director, performing a variety of administrative and/ or advanced secretarial work, ensuring workflow efficiency. Co-ordinates corporate reporting as directed and serves as a liaison for the Managing Director’s Office.   

 Key Duties

 

Supervisory/Management:  ---

Functional:

  • Co-ordinates the flow of communications and schedules activities for the Office of the MD.   
  • Receives and reviews correspondence, calls, visitors and digital communications, and schedules/prioritizes or redirects for action, as appropriate.
  • Tracks, monitors, and reports on the status of activities and assignments; resolves or assists in the resolution of issues, in consultation with the MD and/or Line Manager or designate.    
  • Undertakes or co-ordinates research, compiles, verifies, and analyzes data; provides inputs for and prepares reports and presentations for the Managing Director’s review.    
  • Liaises with Unit Heads or their delegates, Ministry personnel, and other external parties to expedite documents and approvals, as authorized.  
  • Manages and tracks the status of requests for information and instructions to and from the Managing Director’s Office.    
  • Schedules and coordinates the preparations for meetings and corporate and statutory reviews.  
  • Plans and co-ordinates travel arrangements for Managing Director, in consultation with the Administrative Officer.
  • Attends/accompanies the Managing Director to meetings and events to provide in-meeting/on-site support, as required.  
  • Represents the unit at Company meetings and events, as assigned.

Job Requirements

  •  

    Qualifications & Experience

    • Certificate as an Administrative Professional and 8 years’ experience at the C-Suite Level. OR
    • A Bachelor’s degree or equivalent in Business Administration or related field and 5 years’ experience at the C-Suite Level.
    • Demonstrated proficiency in the use of Microsoft Office Suite.   
    • Experience working in the Public Sector or State Enterprise would be an asset.
