SCOPE OF JOB: Ensures that insurance renewals and endorsements (life, peril and general) are kept current with the Bank’s interest noted. Ensure documents that are stamped and registered, are recorded and filed in client dossiers and relevant registers maintained for proper record keeping. Preparation of relevant legal forms to facilitate discharge of security documentation upon approved instructions and in accordance with policy. Ensuring that documentation for cash secured facilities are received and checked for completeness and accuracy within the specified timeline. Performing administrative duties in respect of the Bank’s loan portfolio and other credit. 

MAIN DUTIES & RESPONSIBILITIES:

  1. Process requests for release and discharge of securities for Corporate and SME in accordance with policy and service standards ;
  2. Monitor and maintain a register for peril and life insurance maturity dates daily, to ensure full compliance and prompt renewals and endorsements for securities pledged to the bank. Establish Blank Insurance with JMMBIB;
  3. Reviews documents Post Registration (e.g. NLA, Stamp Office etc.) to ensure that the bank’s interest is accurately recorded;
  4. Maintain an effective filing system for the unit ensuring the proper filing of securities, legal documents, and correspondence daily;
  5. Ensures the restriction of unauthorized access and the observance of dual custody of vault and other access as per the bank’s policy and procedure;
  6. Maintain follow up register for cash secured loans disbursed and ensure that documents are received promptly, collateral records and SharePoint updated and files are accurate and complete;
  7. Ensures that security documentation is received for all credit facilities disbursed and performs post disbursement activities for all loans;
  8. Approval of Collaterals in the Host System and perform end of day check off;
  9. Check off input of NSIPP weekly and ensure that all are accounted for;
  10. Assist with collateral updates in the banking system in the absence of the Credit Admin. Officer;
  11. Assist with the accurate release of mortgage upon receipt of appropriately authorized requests;
  12. Assist with the duties Senior Credit Administration Officer  - Securities as necessary;
  13. Performs other related duties as assigned 

EDUCATION, TRAINING & WORK EXPERIENCE REQUIRED:

(a)           Specific Knowledge:

  • Excellent knowledge of credit administration procedures.
  • Excellent knowledge of credit and security documentation processing.
  • Good knowledge of banking practices and procedures.
  • Very Good knowledge of established procedures for the execution/perfection of securities documents.
  • Good knowledge of the host system and other supports systems especially those areas relating to the monitoring of credit activities.

(b)            Qualifications and Experience:

    • First Degree in Management Studies, Finance or Business Administration from a recognized tertiary institution or equivalent qualifications.
    • Five (5) years related banking experience in a merchant bank or a commercial bank at a senior officer level
    • Good knowledge of banking practices and procedures
    • In-depth knowledge of the procedures for the stamping and registration of all security documents
    • Paralegal Training would be an asset.

(c)            Required Skills and Specialized Techniques

  • Good verbal and non-verbal communication skills.
  • Very good inter-personal skills, required to converse with internal and external parties
  • Very detailed and possesses the capability to pick up on errors/missing information
  • Dependable and focused (based on the risks associated with the job)
  • Good knowledge of security collateral appropriate to various loan types.
  • Knowledge of Consumer and Corporate Lending.
