The incumbent is responsible for assisting with daily production activities to ensure efficient processes and maximum productivity.

Position Summary:

The incumbent is responsible for assisting with daily production activities to ensure efficient processes and maximum productivity. The assistant production supervisor's responsibilities include assisting with supervising employees, coordinating production processes, preparing relevant documentation and maintaining records.

Duties and Responsibilities:

  • Perform administrative functions such as developing and maintaining department databases, preparation and distribution of routine reports (weekly and monthly) as well as development of SOPs and checklists.
  • Maintenance and regular updating of all production, electronic and physical records and databases.
  • Updates and maintains departmental training records, vacation, absenteeism and tardiness logs;
  • Prepare meeting minutes, time sheets, draft disciplinary letters, memorandums, purchase requisitions and payment vouchers when required.
  • Collecting data and creating monthly metrics reports
  • Assist with planning and organizing of department employee training, team building and recognition events;
  • Assists with recording of departmental expenses to minimize departmental costs, including overtime.
  • Assists in the preparation of petty cash and disbursement of cash.
  • Assist in the planning of projects and preparation for plant audits and inspections.
  • Participate in plant visits, provide records and informs the Production Manager on corrective actions.
  • Liaise with production Supervisor on critical items relating to production
  • Updating of production daily stock sheets, tank dips and assisting with stock-taking as required;
  • Be knowledgeable of all production operations, protocols and activities.
  • Conforms to all established departmental and company policies, procedures and objectives, GMPs, food safety and HSE site protocols.
  • Train as an alternate for the Production Supervisor and Production Planner positions.
  • Supervise production shift in the absence of the Production Supervisor (can apply to either Edibles or Soaps).
  • Hours of work 7amto 3pm, but will be required to rotate shifts if needed 6-2/2-10/10-6.
  • Undergo any job-related training required by the company.
  • Provide administrative support for the Production Manager.
  • Performs other related tasks and responsibilities as required by the Production Manager.

Knowledge, Skills & Experience:

  • First Degree in Process Engineering
  • Advanced knowledge of Microsoft Word and Excel
  • Certificate in Supervisory Management or previous experience at a supervisory level
  • 3-4 years’ experience in a Warehouse environment (preferably with a manufacturing company)
  • Strong working knowledge of warehouse operations and management
  • Time management skills and the ability to delegate
  • Excellent leadership and organizational skills
  • Strong communication and interpersonal skills

Technical Competencies Required:

  • Written and Oral Communication: The ability to communicate technical information to non-technical persons on paper and verbally.
  • Time Management: Managing one's own time and the time of others.
  • Organizational Skills: The ability to put tasks together in an orderly, functional and structured whole.

Behavioural Competencies Required:

  • Interpersonal Awareness: The ability to notice, interpret, and anticipate others' concerns and feelings, and to communicate this awareness empathetically to others.
