The Personal Assistant provides high-level administrative and secretarial support and services to the Office of the Executive Director and is responsible for the smooth and efficient operations of the office.

Key Accountabilities and Responsibilities:

  • Provides general and comprehensive personal, administrative and secretarial support.
  • Manage the Executive Director’s work and personal calendars
  • Perform personal errands as required
  • Plans, coordinates and organizes meetings, and prepares the minutes.
  • Create Action Plans for Executive Director on daily, weekly and monthly tasks, activities, and projects and provide constant feedback
  • Coordinates monthly Board Reports 
  • Prepares travel, hotel and catering arrangement as requested.
  • Manages the confidential and other records of the Office.
  • Understands organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.
  • Filters general information, queries, phone calls and invitations to the Executive Director by redirecting or taking forward such contact as appropriate.
  • Manages the appointments and other activities of the Executive Director.
  • Any other related duties as assigned by the Executive Director.

 

Job Requirements

  • Five (5) years of experience in a similar position
  • Tertiary level qualifications would be an asset
  • Proficient in Word, PowerPoint and Excel
