Purchasing Officer

A large distribution company located in Kingston is inviting applications from suitably qualified persons for the position of Purchasing Officer.

JOB SUMMARY:

The purchasing officer is responsible for ensuring adequate availability of goods to meet market needs. Using forecasting methods, comparisons will be made with the current brand requirements for each brand. Creating and maintaining partnerships with suppliers will be of utmost priority along with ensuring that the company’s interests are maintained. Weekly progress reports will be prepared relating to category, current stock levels and order/consignment status. He/She will be expected to making recommendations designed to reduce cost and improve quality with the goal to improve on performance.

KEY RESPONSIBILITIES:

  • Ensuring that all stock levels of all products in assigned category are adequate to meet the demand of the business
  • Collaborate with Marketing Category Managers regarding forecast marketing analysis and promotional events in order to incorporate inventory planning, ordering and delivery scheduling
  • Ensure that all internal customers are kept up to date re: inventory levels, orders and consignments; through the preparation of weekly reports
  • Negotiate with vendors for better payment terms or price, for products and non-inventory items such as labels
  • Ensure that due diligence is conducted expeditiously for prospective new vendors and new items
  • Prepare price/cost analysis for  new products or price changes in inventory items
  • Keep proper records of purchase orders and tracking details to enable easy retrieval of data relating to any consignment
  • Maintain P.O. log for imports and local purchases
  • Maintain supplier and stock planning information-order planning and delivery schedules
  • Liaise with the customs broker regarding the clearance of goods-obtain relevant permits/licenses and cheques required for the timely delivery to the warehouse, to avoid incurrence of demurrage or other penalties.
  • Follow up with suppliers on orders placed and ensure on-time delivery at the docks
  • Monitor payments to suppliers
  • Process all non-inventory requisitions for the company

MINIMUM REQUIRED QUALIFICATIONS AND EXPERIENCE

  • Bachelor's degree in Management or any other related field
  • Certification in Purchasing
  • Three (3) years’ experience in a related field
