SALARY SCALE: $ 2,288,358.73 - $ 2,766,957.04 per annum
JOB SUMMARY:
This position is responsible for providing secretarial and administrative services. The scope of responsibility includes supporting the Vice President’s and Department’s administrative and secretarial processes, including scheduling and coordinating meetings, and managing the filing system.
QUALIFICATIONS & EXPERIENCE:
- BSc. in Business Administration, Management Studies or equivalent qualification
- Certified Professional Secretary qualification would be a PLUS
- Five (5) years’ experience in a similar capacity
DUTIES & RESPONSIBILITIES:
- Schedule and manage the appointments and meetings of the Vice President.
- Screen incoming calls and visitors to the Vice President and re-direct as appropriate.
- Draft email responses, letters and other correspondents on behalf of the Vice President.
- Assist in the preparation of regular, periodic and ad hoc reports.
- Prepare meeting agendas and meeting minutes or action items.
- Manage the Department’s travel arrangements and hotel bookings.
- Develop and maintain the Department’s records management system as guided by the Records and Information Management Department.
- Organize and coordinate both internal and external meetings as directed by the Vice President.
- Collate and prepare cheque requisition for signature on submitted invoices for reimbursement.
- Serve as a point of contact for assigned technicians and other workmen to service and repair equipment (printers, fax, scanners) in the Department.
