The Parts Advisor provides courteous and efficient service to customers. Assists the Service Managers/Supervisors in specific related to parts procurement, including follow-up, placing special orders, and accessing invoices and quotes.

Task Breakdown:

  • Assist the Manager/Supervisor with specific responsibilities.
  • Ensure that company stock/assets are controlled and only issued/received as per policies and Standard Operating Procedures.
  • Provide courteous and efficient service to customers at all times.
  • Adhere to all Standard Operating Procedures.
  • Ensure the raising of accurate quotations via the ADP system for the preparation of repair estimates and parts procurement.
  • Follow up on parts orders and provide ETA.
  • Work alongside Parts Managers /Supervisors to ensure timeliness of parts availability and alternative options.
  • Completion of LP Invoices checking and signing off against all values.
  • Checking of all counter invoices, requisitions, etc. Filing of such documentation in an orderly and controlled manner.
  • Where required, assist with checking in goods received, log any discrepancies immediately, and the Production of Goods Receival Notes and Claims Documentation.
  • Coordinate returns to suppliers via Goods Returns documentation. Follow up on the receipt of Credit Notes or Memos. 
  • Follow up on outstanding parts service and parts invoices.
  • Assist with any other departmental responsibilities within scope and competence.

Qualification and Experience:

  • 5 O-level subjects inclusive of Mathematics and English.
  • Secondary level education minimum.
  • At least 3 years of experience in dealership administration, policies, procedures, stock controls, systems, warranty manufacturer position, or any other similar capacity.
  • Minimum 2 years of Sales experience with experience in an automotive environment an asset.
  • Product knowledge of franchises is an asset.
  • Computer literate with computer applications and software i.e. Windows/Excel/Access/Outlook.  Ability to input and access information from a computer.
  • Excellent Communication and Interpersonal Relationship Skills (Professional and Tactful).
