TRANSCRIPT OFFICER

The Caribbean Maritime University (CMU), the only specialized maritime university in the English-speaking Caribbean, is inviting applications for TRANSCRIPT OFFICER (LEVEL 5).

Job Purpose 

Under the direct supervision of the Manager Assessment, the Transcript Officer is responsible for the preparation and issuance of transcripts for current students, previous students, and alumni. The officer shall respond to student queries concerning transcripts in an appropriate timeframe and assist with the vetting of graduation list submitted by the faculties.

Key Responsibility Areas:

  • Responds to phone and email queries from students and staff within an appropriate timeframe;
  • Processes official and unofficial transcript requests via the document request portal within the stipulate timeframe;
  • Tracks students add/drop, transfers, and withdrawals and ensure that information is accurately logged on the student registration system (SRS) to allow accurate transcripts;
  • Creates and develops basic reports on student examination data including anomalies, changes in the systems, and recommendations for improvement;
  • Maintains an accurate, central record of student transcript information electronically through the Student Registration System and the individual hard copy file;
  • Assists with student registration and data entry;
  • Assists with university events/ceremonies that University Registrar is responsible for, including but not limited to graduation ceremonies and award ceremonies;
  • Assists in the auditing of student records within the purview of the Assessment Office for accuracy and completeness;
  • Evaluates and makes suggestions to improve job productivity and efficiency;
  • Prepares monthly work plan for approval and monthly reports along with individual work logs for submission to the Assessment Coordinator for review.

Performance Standards

  •  Efficient communication and comprehensive knowledge management systems in place;
  • Comprehensive reports developed in a timely manner;
  • Sound advice provided to inform the policy process;
  • Accurate transcripts and letters prepared.

  • Ability to work with confidential materials and ensures that the institution follows the regulations;
  • Excellent interpersonal and analytical skills;

  • Ability to prioritize tasks and work under pressure;
  • Work with a high degree of accuracy;
  • Ability to meet deadlines and to work on own initiative;
  • Ability to manage time effectively and multitask;
  • Produces work within the agreed time or deadline.

Minimum Required Education and Experience

  • At least a first degree in applicable field or equivalent combination of education and experience;
  • At least two (2) years administrative experience, preferably in the education sector;
  • Advanced knowledge of Microsoft Office Suite applications;
  • Knowledge of student management systems;
  • Experience of planning, prioritizing, and organizing your own work or resources and working with others to achieve team objectives;
  • Experience working in a secondary or tertiary institution.
