Administrative Assistant

We are a dynamic and emerging company in the Construction and Road Works industry, looking for an Administrative Assistant to join our team. We are seeking a smart, articulate and self-motivated individual with a good command of the English Language and an eagerness to learn, to contribute to our continued growth.

Role Overview

As our Administrative Assistant, you will be the welcoming face of our company. Your role will involve handling front desk responsibilities, greeting visitors, managing calls and providing administrative support to the Executive Assistant to the Managing Director. You'll play a crucial part in ensuring the smooth operation of our office, allowing our team to focus on delivering outstanding results. 

Key Responsibilities

  • Provides receptionist support to ensure efficient operation of office’s front desk;
  • Exhibits polite and professional communication in person, via phone and e-mail;
  • Provides information by answering questions and requests;
  • Carries out administrative duties such as typing, copying, scanning etc.;
  • Managing filing system;
  • Recording information, updating paperwork, maintaining documents, and word processing;
  • Helping organize and maintain the office’s reception area;
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies following approval;
  • Creating, maintaining, and entering information into Microsoft Excel databases.
  • Collaborate with the Executive Assistant ensure the timely completion of daily, weekly and monthly tasks.

 

Qualifications

  • At least 3 years’ experience as a secretary, virtual assistant, administrative assistant or in another relevant administrative role;
  • Diploma/ NCTVET Certification in Secretarial Studies, Office Administration, Business Administration or related area of study;
  • 7 CSEC including Mathematics, English and Information Technology;

 

Key Skills

  • Excellent written and verbal communication skills;
  • Thorough understanding of office management procedures;
  • Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook (knowledge of Adobe Acrobat would be an asset);
  • Excellent organizational and time management skills;
  • Analytical abilities and aptitude in problem-solving;
  • Have the ability to work independently as well as part of a team;
  • Being flexible and able to adapt to changes in the workplace;
  • Possessing a positive attitude;
  • Have a willingness to learn.
