POSITION:                   Accounts Payable Administrator

DEPARTMENT:             Accounts

IDEAL CANDIDATE

This person should be a veteran in the Account Payable field and have a passion and keen eye for accuracy and keeping up to date accounts. A bonus if the person has experience with managing expenses for various business units and initiatives to streamline efficiencies such as digital expense submissions and approvals.

 

OBJECIVE

This position is critical to the success of the internal operations of the Company.  The incumbent will provide junior level accounting and administrative support to the Accounts Department, specifically executing the duties as outlined below.

 

PRIMARY DUTIES

  • Responsible for all Payables of the company which include operating expenses for processing approved expenses for either wire transfer or cheque payment, inclusive of payee 10 retail locations, head office, warehouse, as well as expenses relating to the Sales and Marketing Department.
  • Responsible for sending the remittance of all payments once processing is complete.
  • Assists in the production of reports from the accounting system.
  • Tracks billings and subsequent settlement by commercial vendors.
  • Responsible for daily posting of all AP entries into the accounting system.
  • Assists in the preparation of financial reports, revenue, expenditure, banking, inclusive of month end.
  • Supports Accounting manager in the processing of invoices due for payments.
  • Compares purchase orders, prices, terms of payment and other charges.
  • Identifies, tracks, and investigates vendor related inquiries with a view to resolving them.
  • Performs other administrative functions, such as:

-          document preparation,

-          data entry

-          scanning,

-          faxing, processing of mail, and

-          routine filing

  • Provides additional support to reception and assist with the answering of incoming calls.
  • Any other duties as required or assigned.

 

REQUIREMENTS

Highschool Degree or the Equivalent

Two years prior experience with QuickBooks

Excellent at multi-tasking

Problem solver and take initiative.

Proven experience with Accounts Payable

Able to multi-task and work independently

Excellent written and verbal communication skills

Proficient knowledge of the Microsoft Word and Excel
