ACCOUNTS PAYABLE OFFICER

The Caribbean Maritime University (CMU), the only specialized maritime university in the English-speaking Caribbean is inviting applications for the post of ACCOUNTS PAYABLE OFFICER (Level 4).

SUMMARY

Reporting to the Accounts Payable Supervisor, the duties of the Accounts Payable Officer include assisting with disbursements of payments. The Accounts Payable Officer receives invoices from vendors and matching these to the approved purchase orders and ensures accuracy of accounting distributions. The Officer is responsible to ensure that the bills of the CMU are approved and paid promptly, subject to the availability of funds. 

 PRIMARY RESPONSBILITIES

  • Create vendor invoice in ODOO, charging invoices to cost centres and relevant general ledger accounts
  • Prepare invoices for payment
  • Preparing cheques
  • Assist in resolving discrepancies as regards to purchase order, contract, invoices or payment discrepancies
  • Ensure CMU payments are recorded on suppliers’ accounts and credit notes recorded
  • Assist in reconciling suppliers’ accounts as assigned monthly
  • Assist in the maintenance of accurate accounts payable ledger
  • Handles wire transfers and standing orders after relevant payment are recorded in account payable system
  • Handles petty cash payments, which is a reimbursement of funds already spent
  • Maintains other assigned accounts payables accounts in general ledger
  • Distributes cheques to suppliers
  • Files payment vouchers, supporting invoices, receival notes and purchase orders by cheque number daily
  • Maintains confidentiality of payments. Keeping accounts payable records within the accounts payable section
  • Checking payments to budget
  • Facilitate payment of invoices by liaising with the Procurement Unit.
  • Reconcile the accounts payable ledger to ensure that all payments are accounted for and properly posted

SPECIFIC JOB REQUIREMENTS

  • Must be able to manage outstanding payables and maintain up to date reports.
  • Must be capable of developing and delivering feedback using multiple tools, assessing progress and measuring performance effectiveness. 

 REQUIRED KNOWLEDGE & EXPERIENCE

  •  Minimum of three (3) years’ experience working in the area of accounts payable.
  • Bachelor’s degree in accounting or finance
  • Must have experience working with an ERP system
  • Proficient in Excel
  • Must possess previous accounts payable experience
  • Proficient in the use of personal computers
