The position requires the incumbent to develop the best buying strategies for the organization with a view to consistently maintaining quality and managing cost.

Objective:

The position requires the incumbent to develop the best buying strategies for the organization with a view to consistently maintaining quality and managing cost. The incumbent is also required to screen requisitions, tabulate bids, answer inquiries from vendors, and maintain purchase record files and related actives.

 

Responsibilities

 

Order Generation

  • Liaise with users and other relevant parties.
  • Identify potential suppliers.
  • Generate reports and statistics using computer programs.
  • Prepare purchase orders.
  • Review requisition
  • Generate order.

 

Request Quotes

  • Ensure correct description.
  • Ensure correct quantity.

 

Track Orders

  • Dispatch orders to suppliers.
  • Track orders through the approval system.

 

Track Delivery

  • Communicate with supplier to schedule delivery and ensure delivery dates are adhered to.

 

Request Payment

  • Liaise with Accounts Department to facilitate advance payments when they are a prerequisite for delivery.
  • Track payment to supplier.

 

Report on Purchase

  • Provide system report on purchases.

 

Leases and Contracts

  • Manage company leases and contracts.
Others
  • Liaise with suppliers to ensure goods are received, deliveries are maintained, and effective communication is maintained.
  • Reference sections 1 & 2 in Procurement Policy
  • All other duties assigned.

 

 

Qualifications

  • Bachelor’s degree in Supply Chain Management, Customs processing, Freight Forwarding and Immigration.
  • Knowledge of Microsoft Office (pivot tables and macros).
  • Ability to negotiate with suppliers.
  • Effective communication (internal and external team).
  • Proactive or self-directed.
  • Trustworthy and honest.
  • Could be a recent graduate or/and with one-three years of work experience in the Purchasing department.
