We are seeking to recruit a suitable candidate for the following position in the Logistics Department:

BOND SYSTEM ADMINISTRATOR

This role is focused on ensuring an up-to-date system and administrative maintenance of bonded activities. Providing superior customer service to Diplomatic customers while increasing sales within the diplomatic community.

Major Responsibilities & Accountabilities:  

  • Allocate inventory for duty-free concessionaires and duty-paid requisitions.
  • Maintain accurate inventory balances and rotation integrity in Magic Bond Inventory System.
  • Manage the Customs On-Line Payment System for Bond Transfer Requisitions, while reconciling Account balance.
  • Administer the system for placement and delivery of Diplomatic orders. Coordinate and arrange duty-paid transfers.
  • Generate and maintain Diplomatic sales in accordance with set KPIs.
  • Manage Concessionaires’ Receivables within the limits of the credit facilities offered to them in accordance with Company policy.
  • Obtain Credit Approval for Diplomatic orders and ensure orders are generated in VAI.
  • Create location transfers in VAI for Naughty Grape Duty-Free requisitions.
  • Maintain and input text based and numerical information in the Magic Bond Inventory System.
  • Maintain key performance measurements to attain operational objectives and service levels.
  • Work collaboratively with the Premium Beverages Division to plan and execute promotional activities for Diplomatic customers.
  • Generate Bond Direct Duty Paid documentation in alignment with Weekly Clearing Schedules for timely receipt and un-stuffing of inbound warehouse shipments.
  • Keep immediate supervisor informed of activities, particularly of major or unusual developments, and seek advice and counsel.
  • Handle concessionaires’ questions, complaints and billing queries with the highest degree of courtesy and professionalism.
  • Make product recommendations according to customer’s needs.
  • Liaise with Duty Free Concessionaires on stock availability, Order and delivery status and offer guidance on Customs procedures and approvals.
  • Generate Inventory Status and Activity reports for supply quantity and stock availability queries.
  • Keep and maintain a systematic and organized filing system for all file records. 

Knowledge & Experience:

  • Five (5) CXC passes, including Mathematics and English.
  • A minimum of two (2) years’ experience in an administrative or bonded warehouse environment
  • Familiarity with Customs documentation.
  • Knowledge of Microsoft Office applications and any other related software
