The Human Resource Assistant performs administrative duties for the Human Resources Department and consistently provides prompt, courteous, professional and reliable service in a confidential manner to internal and external customers.
Role Responsibilities:
a) Performs administrative duties for the Human Resources Department.
- Prepares all letters and memoranda for internal and external purposes.
- Prepares relevant departmental reports, as required.
- Organizes meetings as required, ensuring all related activities are efficiently done in a timely manner.
- Handles incoming telephone calls and visitors and advises the Human Resources Officer accordingly.
- Handles incoming and outgoing mail for the department and takes appropriate action in a timely manner.
- Assists the Human Resources Officer with the scheduling of departmental activities and appointments.
- Maintains a proper, up-to-date records management system.
b) Assists in the preparation of documents for training and new employee orientation.
c) Assist with Liaising with representatives of the employees’ health scheme to ensure the smooth flow ofinformation and processing of requests.
d) Monitors and checks requests for all types of leave, ensures the accuracy of the records and notifies the HumanResources Officer of any discrepancies.
e) Examines documents submitted for the Human Resource Officer’s approval related to contracts or payments andsubmits to the Head of the Department if complete or relevant. Requests outstanding documents from the relevantsource, as necessary.
f) Liaise with departmental or other managers on Human Resource matters, as necessary or as directed.
g) Responds to queries received in a prompt, courteous and appropriate manner or directs the queriesappropriately.
h) Assists in the planning and co-ordination of staff functions.
i) Ensures observance and strict adherence to all safety and housekeeping policies and practices consistent withclean, safe, reliable, efficient and environmentally sound operations.
j) Provides appropriate customer service, internally and externally.
k) Develops and maintain good relationship with team members and customers.
l) Performs any other related duty assigned from time to time.
Required Qualifications:
- Secondary education with passes in at least five (5) CXC subjects, including English Language and Mathematics.
- Diploma/Certificate in Human Resource Management, Supervisory Management or Administrative Management
Required Experience:
- Two (2) years’ experience in a similar position
Required Competencies:
- Knowledge of the principles and application of Human Resources Development and Jamaican Labour Laws
- Proficiency in the use of computer software applications including Microsoft Word, Excel and PowerPoint
- Excellent teamwork and interpersonal skills
