Senior Warehouse Supervisor – Cold Storage

The Senior Warehouse Supervisor – Cold Storage is responsible and accountable for the physical receipt, safe storage and proper distribution (by F.I.F.O./F.E.F.O.) of all cold storage items.

Summary: The Senior Warehouse Supervisor – Cold Storage is responsible and accountable for the physical receipt, safe storage and proper distribution (by F.I.F.O./F.E.F.O.) of all cold storage items.This individual is responsible for monitoring the temperatures of all cold storage equipment used for the storage of cold storage stock. He/she is also responsible for the efficient and effective use of resources in order to achieve the department’s daily objectives.

Duties and Responsibilities:

• Accountable for the overall performance of all Cold Storage staff members and all operations related to the Cold Storage Warehouse.
• Accountable for the monitoring of stock levels and the timely identification and reporting of risks relating to expiry, overstock and out of stock situations.
• Responsible for ensuring that any stock stored offsite is transported back to the main Warehouse for distribution as per F.I.F.O./F.E.F.O.
• Responsible for the verification of all Good Transfer notes relating to all inter-site transfers.
• Responsible for ensuring that staff slot and pick items as directed by the WMS system.
• Accountable for cold storage warehousing & distribution activities: Temperature monitoring of all cold storage equipment and logging of the temperature information.
• Ensuring that all cold storage delivery drivers maintain the appropriate records and logs
• Maintaining a clean, safe and healthy environment.
• Preparation of the designated cold storage area for receipt of cargo and the unstuffing of reefer containers.
• Unstuffing of reefers within 24 hours of arrival on the compound – ZERO DEMURRAGE TARGET.
• Ensuring that stock is put away in a timely manner and within the spaces allocated.
• Ensuring that stock is effectively rotated to minimize/eliminate the risk of expiries.
• Ensuring that all scheduled deliveries are dispatched based on priority on a daily basis.
• Daily/weekly reports on: Distribution Target Fulfillment (i.e. no. of deliveries successfully completed vs no. of scheduled deliveries).
• Picking & Delivery Accuracy: Freezer Capacity Analysis, Short Expiry Stock Report
• Management of resources: Directing resources so that the offloading of all shipments is done in a timely manner to avoid the incurrence of demurrage.
• Ensuring that all GRNs are accurately generated and submitted on a daily basis.
• Ensuring all items are in the allocated location and are safely stored.
• Ensuring that all deliveries are efficiently batched and that the capacity of each truck if effectively maximized and that all material handling equipment is properly functional.
• Ensuring that all refrigeration units are functioning optimally and that any malfunctions are detected and reported for action. The Supervisor is also responsible for following up on these repairs.
• Ensuring the timely dispatch of trucks and monitoring of delivery performance.
• Meeting assigned KPI’s for warehouse, inventory and distribution.
• Responsible for the accuracy of the inventory and any losses that occur due to spoilage or shrinkage.
• To manage and implement security and loss prevention systems and conduct investigations as required.
• To liaise with police, fire and external emergency and protective services as required in an emergency situation.
• Making suggestions for operations policy and develop / implement procedures.
• Coordinating with stores on delivery and order issues.
• Holding spare keys for all warehouses for emergency access.
• Ensuring budgets are adhered to and validating 3rd party invoices
• Being accountable for all franchiser warehouse, distribution and quality procedures e.g. maintaining the cold chain and monitoring and recording temperatures among other items.
• Performance of other related duties, as required.

Qualifications and Experience Requirement:

• A university degree in a related field.
• Qualifications such as higher degrees, diplomas, CIPS, CPM or APICS certification are assets.
• Cold storage experience.
• Experience working with WMS and ERP systems.
• A minimum of five (5) years’ work experience in a medium sized retail company or experience in warehouse management or any aspect of supply chain management, with at least 2 years supervising others.
• Proficient in Microsoft Office
• Certificate of Good Character
