Accounts Payable & Payroll Accounting Assistant 

 

Overview:

To enter routine data into accounting records, such as accounts payable, billing, do routine filing and updating of records and maintain proper payroll accounting system using the company’s selected payroll software.

The Accountant assigns work as needed to ensure accurate accounting records. Duties include performing a variety of complex clerical and entry-level bookkeeping and accounting and payroll tasks, applying accepted procedures to the preparation and maintenance of accounting, payroll and other records, and preparing financial, statistical, statutory and/or technical reports. Reports to the department head, senior offcials, or other designated person.

Main duties include, but are not limited to:

  • Review, code, verify & enter daily invoices from vendors in QuickBooks.
  • Review, code, verify & enter credit notes from vendors in QuickBooks.
  • Prepare cheques for all vendors.
  • Track monthly bills to ensure timely payment.
  • Prepare spreadsheet for petty cash.
  • Ensure that supplier reconciliations are up to date.
  • To ensure all filing is done in a timely and accurate manner.
  • Receive and send faxes.
  • Issues cheques to vendors.
  • Answer phones, take messages and direct them to the respective persons.
  • Maintain the office in a clean and orderly manner.
  • Generate and Review - weekly P&L report (Sunday to Saturday) and email by the second working day in the following week.
  • Generate and Review - weekly Purchases report (Sunday to Saturday) and email by the second working day in the following week.
  • Assist other accounting staff in the execution of their duties as necessary.

Completing payroll functions in order to ensure that fortnightly staff are paid in an accurate and timely manner

  • Compiles payroll data: hours worked, deductions for meals/advances
  • Enter data in company payroll software system
  • Print and verify payroll hours, additions and deductions
  • Ensure that the correct P.A.Y.E., N.I.S. & other allowable amounts are deducted.
  • Prepare bank transfer letter (fax or email or ACH) and cheques
  • Print pay slips and attach meals/advances receipts
  • Assist in registering new employees with  statutory bodies
  • Assist in completing all relevant statutory claims and other benefit forms
  • Prepare job letters 
  • Maintain employees’ records (individuals)
  • Maintain payroll records (fortnightly/monthly)
  • Maintain statutory records: PAYE, NIS Etc.
  • Reconcile Payroll records with the accounting records monthly and at year-end

 Administrative services

  • Provide administrative support to all managers
  • Prepare job letters and other correspondence.
  • Assist with preparation of rosters for restaurant staff.
  • Maintain the company’s stationery supplies.

Knowledge, skills and abilities

Qualifications

  • Level I ACCA or certificate in Business Management, Managemewnt Studies or any other related discipline. 
  • Minimum of five (5) C.X.C. O'levels inclusive of mathematics and english language 

 Proficient knowledge

  • Practical knowledge in QuickBooks 
  • Practical knowledge in MicroPay
  • Accounts payable
  • Payroll functions and procedures
  • Knowledge of Accounting & payroll Software packages.
  • Microsoft office suite (Excell, Word etc.)
