Job Description: Customer Service/Documentation Clerk

 Please note that this is a contract position and carded to end in December 2023. 

Reports to:

  • Direct: Sales Manager   

 

Job Summary:

The role requires the incumbent to be adept at customer service and processing the documentation for import/export in an efficient and timely manner. The role requires good knowledge of the work-flow of the operations, and may require liaising with the other units to ensure all related issues are taken considered, inclusive of any local custom legislation.

Additionally, the role is required to provide the customers with excellent customer service, ensuring that the company’s reputation is protected.  He/she is required to be a critical thinker and provide win-win solutions for both the customers and the organisation.

 

General Duties:

  • Timely and efficient processing of all related documentation for import / exports and ensuring that records are maintained.
  • Excellent communication of related cargo issues to clients, ensuring that customers receive complete information and thus avoid miscommunication.
  • Issuing local customs manifest and corrections to manifest as well as corrective documentation to support import/inbound container issues such as incorrect seals
  • Providing customers with appropriate technical solutions in all respective capacities of customer service inclusive of arrival notifications, etc.
  • Controlling and monitoring of the quality of documentation and invoicing (inclusive of follow-up of additional costs invoiced after the receipt of Original Bills of Lading or customers’ instructions.
  • Managing disputes relative to invoicing and customer service issues with identification of acceptable and administrable solutions
  • Liaising with Operations/Husbandry personnel to ensure that the container dispositions and customer requests are accurately handled as far as port relations are concerned. 
  • Delivering reports in an accurate and timely manner.

 

Skills/Qualifications:

  • Secondary School completion with full passes / post-Secondary qualifications in Business Administration an asset
  • Previous working experience in a similar role / Customer Service an asset. 
  • Good command of English with excellent communication skills
  • Proficient in Microsoft Office Suite.
  • Autonomous and responsive with organizational skills
  • Team Player
