We are seeking to employ an Estate Officer who will provide administrative support to the Property Management team by monitoring, maintaining, and facilitating the purchase or sale of commercial and residential properties owned or managed by SAJE Property Services Limited.

The Estate Officer will assist with maintenance of the buildings and grounds, direct service providers where necessary and oversee the upkeep of equipment and supplies.

­­­­­­­­­­­­­DUTIES AND RESPONSIBILITIES:

Administrative Duties

  1. Responsible for efficient operation of the Property Department.
  2. Execute administrative functions promptly and efficiently.
  3. Generate weekly/monthly and ad hoc property status reports.
  4. Assist with preparation of Leases.
  5. Prepare rental list and assist with the preparation of brochures for property management services.
  6. Prepare purchase order requisitions for goods and services
  7. Contact and liaise with suppliers and contractors for various services.

Facilities Management Duties

  1. Assist with the management of contracts for ventilation and air-conditioning systems, facility repairs and maintenance, security, electrical and plumbing systems, waste management and housekeeping.
  2. Assist with building and property improvement projects.
  3. Analyse and investigate maintenance problems, prepare and complete written reports to Property Manager with solutions and/or recommendations.
  4. Oversee special projects as assigned by Property Manager.
  5. Assist with collecting rent from tenants and issuing receipts.
  6. Investigating and arranging for collection of rental arrears in accordance with company procedures.
  7. Inspect properties being managed by the Property Company.
  8. Write work orders for Maintenance Department based on information from tenants, technicians or site visits.
  9. Draft Memos and/or make phone calls to tenants related to lease issues and preventative maintenance scheduling.
  10. Issue keys to technicians/vendors and maintain accurate logs of keys, ensuring keys are returned.
  11. Perform as needed all necessary functions to facilitate Tenant “Moving In” and “Moving Out”.
  12. Maintaining logs, Procuring bids and perform inspections and replenish inventory where necessary

 

QUALIFICATIONS AND EXPERIENCE:

Minimum requirements

  1. Bachelor’s Degree, Construction Management, Land Economy and Valuation or related field.
  2. Real Estate Salesman Certificate provides an advantage.
  3. Current Driver’s License
  4. Reliable Motor Vehicle
  5. A minimum of two (2) years’ experience in Property Management
