Administrative Assistant

JOB SUMMARY 

Are you looking for an exciting opportunity to showcase your administrative skills in a dynamic and fast-paced environment? We have the perfect position for you! Join our team as an Administrative Assistant, you will be responsible for providing administrative support to the Manager, Professional Services. Your role will encompass a wide range of tasks, ensuring smooth operations and effective communication within the team and with external stakeholders.

  

KEY RESPONSIBILITIES

  • Prepare and send correspondence, including emails, faxes, and other communications to team members, prospects, and customers.
  • Ensure timely delivery of goods to customers, adhering to our company's standards, policies, and business practices.
  • Proactively communicate with team members and customers, addressing any order changes and providing delivery status updates.
  • Assist with collections, receivables, and providing monthly reports.
  • Collaborate with various Business Units to effectively manage Professional Services efforts throughout the engagement process.
  • Assist with the management of inventory within the Business Unit.
  • Prepare quotations, order requisitions, task update reports, and billing instructions.
  • Facilitate the renewal of software licenses and other subscription support contracts.
  • Assist with coordination and tracking of Monthly/Quarterly Department activities and meetings.
  • Prepare maintenance documents, monitor contract expirations, and ensure timely contract renewals.
  • Prepare Monthly team incentive reports, recognizing exceptional performance.
  • Develop and maintain relationships with major customers, contributing to strategic decision-making regarding our product portfolio.
  • Assist with the preparation of bid documents based on customer RFQ documents.
  • Identify and qualify opportunities within the existing customer base and new territories, forwarding leads to account managers.

 

 ACADEMIC/PROFESSIONAL REQUIREMENTS 

  • Associate or BSc in Business Administration.
  • Minimum of 2 years' experience in a similar administrative role.
  • At least 2 years' experience in an ICT or similar technology-driven environment.
  • Excellent communication, critical thinking, time management, and organizational skills.
  • Proficiency in Microsoft Office Suite.
  • Strong time management skills.
