JOB OBJECTIVE:
The Branch Manager’s Assistant supervises the day-to-day operations of the branch, assigning tasks and
responsibilities, as necessary. He/She performs administrative duties to support the Branch Manager and the Agents. The incumbent ensures the provision of prompt, reliable, courteous and professional customer service by the support 
team.
MAJOR RESPONSIBILITIES: 
1. New Application Process 
  • Proactively manage the new application process ensuring that all applications forwarded for settlement meets the company’s requirements of a “complete application”.
2. Pending, Lapse, Re-date Application & Persistency Management
  • Review pending new business applications, lapse listings and re-date applications before submitting to Manager on an as needed basis.
  • Assist in managing the 2 year roll over persistency records.
3. New Agent Activity Coordination
  • Coordinate the branch’s recruitment process – prepare files for the Selection Committee, liaise with Unit and Branch Manager to arrange CPQ testing and follow up on results and schedule meetings with candidates to complete files.
  • Schedule Orientation Training with HR and GLOC Training Department.
  • Conduct OFT Training for all new agents.
  • Ensure that each new agent registers for licensing examinations and classes by stipulated deadlines.
  • Follow-up with Sales Administration on new agents’ contracts.
4. Reporting
  • Prepare reports on the Branch’s production for submission to the Branch Manager.
  • Prepare other routine / special reports as requested by the Branch Manager.
5. Budget & Expense Management
  • Assist with the preparation and monitoring of branch budget.
6. Administrative Support
  • Perform secretarial duties as assigned by the Manager.
  • Handle Managers’ queries as requested related to: advances, commission statements, reinstatements, persistency, etc.
  • Schedule training and refresher sessions, as needed.
  • Schedule meetings with Unit Managers, agents and clients and maintain branch calendar of events.
  • Plan and execute special branch events.
  • Ensure that the Managers’ and agents licenses are renewed by stipulated deadlines.
  • Maintain personnel records, commission statements, and files and records of correspondence including letters and Head Office reports.
  • Respond to callers in person or telephone, directing callers to the Branch Manager, Agent or Head Office as appropriate
  • Open and distribute mail and handle those matters not requiring the personal attention of the Branch Manager.
7. People Management
  • Lead, motivate, inspire and encourage employees through effective performance management –setting of clear goals and objectives, ensuring that performance gaps are closed through relevanttraining, monitoring work performance through continuous performance discussions and timely completion of appraisals.
8. Orphan Policy Management
  •  Follow up with agents on the servicing of orphans* and maintain control of portfolios for Orphan policy holders. (Orphan refers to policy holders who are not serviced by an active Agent due to departure of such Agents).
9. Perform any other job-related duties as assigned by the Branch Manager
EDUCATION:
  • 5 CXC/CSEC passes including Mathematics and English Language. 
  • 2 A Level/CAPE subjects.
  • Certification in Supervisory Training.
  •  LOMA 280, 290, ACS 100 and all related parts.
KNOWLEDGE AND EXPERIENCE:
  • At least three (3) years’ experience in a Supervisory role in a Life Insurance Agency or similar environment.
  • Knowledge of Insurance Operations Processes and Procedures.
PERSONALITY:
The Branch Manager’s Assistant must be articulate and confident. The incumbent must have a pleasant disposition 
and appearance and be courteous and polite. Effective work management skills are necessary in order to complete 
tasks effectively. In addition, the Branch Manager’s Assistant must be able to be entrusted with confidential information 
and possess a genuine interest in helping people.
