Responsible for the effective management of the television program's content archive and providing support to the TV Programming Manager. The position requires meticulous attention to detail, organizational skills, and a deep understanding of content management best practices.

Job Function:

  1. Catalogues all program content, including audio and video, for easy retrieval and use in future productions. Uses specialized cataloguing software to ensure efficient retrieval of archived content.
  2. Develops and maintains the archive filing system, ensuring that all content is stored securely and in accordance with company policies. Maintains a structured filing system to ensure that all content is easy to access and retrieve, and to prevent loss or damage.
  3. Conducts regular inventory checks to ensure the accuracy of the archive database. Physically checks content, and cross-checks with database to ensure the database is up to date and accurate.
  1. Records new content and metadata, ensuring that it is stored in the appropriate location and in the correct format. Ensures new content is added and stored correctly.
  2. Provides support to the daily or weekly build-out of the TV Programming traffic database including the appropriate metadata for each programme, and reviewing episode sequences to ensure that there are no discrepancies to episode order etc.
  3. Coordinates with the Senior Programming Editor and Programming Editors to ensure that programming data correlates with files sent to the Master Control area for playback.
  4. Provides support to the TV Programming Manager to assist with the build-out of quarterly and monthly programming plans as per content available.
  5. Collaborates with production teams to identify and prioritize archive material for use in upcoming productions.
  6. Provides support to production teams by locating and providing archive material in a timely manner.
  7. Ensures that production teams have access to the required archive material.
  8. Ensures that archive content complies with copyright laws and company policies to avoid copyright infringement and legal issues.
  9. Liaises with external vendors and clients to provide archive content for licensing or other purposes. Maintains contact and relationship with external parties to generate additional revenue for the organization.
  10. Develops and implements policies and procedures for the effective management of the archive and works with management to ensure efficient archive management.
  11. Trains staff in archive management processes and procedures by providing workshops to ensure that staff is capable of performing archive management duties.
  12. Manages the digitization of physical archive material, ensuring that it is done in a timely and cost-effective manner. Utilizes specialized equipment and software to ensure all content is stored in a digital format.
  13. Conducts regular backups of the archive, ensuring that all content is securely stored and accessible. Uses specialized backup software to prevent loss of archive material.
  14. Maintains up-to-date knowledge of new archive management technologies and best practices. Attends seminars, conferences, and other training opportunities, to ensure the company's archive management practices remain current.
  15. Generates reports on archive usage and other key metrics in accordance with stipulated formats and timeframes.
  16. Ensures that all archive material is properly labelled and described, and that all metadata is accurate and up to date. Ensures efficient archive retrieval and usage.
  1. Executes any other related duties as assigned.

 

Education:     

-      Bachelor’s degree in Library Science, Communication or a related field.

-      A minimum of four years’ experience in an archive management role

-      Microsoft Office Intermediate User

 

Experience:  

-      Four (4) years’ experience in a similar role.

-      Experience in a regulatory environment or a state enterprise would be an asset.

-      Experience in the media sector would be a definite asset.
