To support the Manager Operations in the daily running of the Office of the Archbishop ensuring that systems and procedures are adhered to, and the services provided to internal and external customers are efficiently and effectively managed.

Main Responsibilities
  1. To check and action the Archbishop’s email daily and on a timely basis; to open, receive, process and action promptly, all incoming mail and assist in the preparation of correspondence emanating from the Archbishop’s Office and respond to correspondence on behalf of the Archbishop, where applicable.
  2. To receive and welcome visitors and ensure the reception area is warm and inviting; to have available to waiting visitors, church literature and other appropriate reading material.       
  3. To assist in the follow-up on operational and human resource matters within the Archdiocesan Curia, with the clergy and parishes.         
  4. To assist in the management of the Archbishop’s calendar, including making all travel arrangements.
  5. To maintain proper filing systems for of all documents and correspondence, and update and update and keep current, an Archdiocesan Curia Directory.
  6. To receive and screen telephone calls to the Office and relay messages promptly, exercising a high degree of tact, courtesy, and diplomacy at all times.
  7. To assist with the administration of monthly 8-day silent retreats.
  8. To liaise with CAMSEL on a weekly basis with respect to the Archbishop’s column and engagements, to ensure accurate publication in the Catholic News in the absence of the Manager Operations.

Job Requirements

-        BSc degree or equivalent in Business or related field.

-        Proficient in the use of Microsoft Office (Word, Excel, etc.)

-        Leadership/ Management Training (Seminars/ webinars, short courses)

-        Non-Technical Skills and Abilities:

  • Must observe Confidentiality at all times.
  • Ability to exercise tact, judgement and discretion in handling internal and external contacts.
  • Excellent oral and written communication skills
  • Excellent organizational skills. Ability to prioritize and handle busy work periods.
  • Team-Oriented, and excellent working relationships at all levels.
  • Ability to think ahead and anticipate needs before they arise.
  • Confident. Takes initiative and work with limited supervision.

-        Knowledge: Keen understanding of the structure and Mission of the Archdiocese.

-        Experience: At least 5 years’ experience working as an Executive Assistant to a Board or Executive levelManagement.
