Group Procurement Officer

Position:  Group Procurement Officer

A growing multi-faceted customer-centric retail organization requires a dynamic individual to join our team in the role of Group Procurement Officer.  The companies specialize in the retailing of gifts, novelties and other products, locally produced and imported.

 

Job Summary

The successful candidate will be responsible to direct and execute the procurement function in line with the company’s procurement guidelines and policies, ensuring procurement complies with company brand and the required quality standards whilst optimizing cost savings within the required deadlines.

 

Key Accountabilities

  • Direct and execute the procurement function for a diverse range of perishable and consumer goods in accordance with the company procurement guidelines and policies.
  • Source and procure new and innovative goods to meet changing consumer needs and seasonal demand.
  • Liaise with relevant department heads to monitor and evaluate product performance and to inform new product introduction.
  • Monitor and report on industry trends
  • Manage the inventories of products within the organization ensuring required product categories and stock levels are maintained in line with stated requirements.  
  • Maintain positive and collaborative vendor relationships.
  • Negotiate with vendors and suppliers to achieve optimal cost savings.
  • Execute vendor contracts
  • Accurately monitor and appraise vendor's performance, communicate results as required.
  • Research and evaluate prospective suppliers.
  • Maintain vendor database and accurate records including purchased costs, delivery time, product quality or performance etc.
  • Secure required licenses /permits, import documentation ensuring company is compliant to regulations
  • Liaise with customs brokers for clearance of goods in a cost-effective manner and the within specified timelines
  • Follow through to ensure orders have been received, verify invoices, examine the condition of received goods and recommend invoices for payment.
  • Monitor and report the procurement status and progress as required.
  • Prepare procurement budget, cost analyses and required internal monthly reports.
  • Report to the Managing Director.

Qualification & Experience

  • A tertiary level degree in Business Administration or related discipline.
  • Minimum of three (3) years’ experience in supply chain management in a medium sized organization.
  • Purchasing and inventory control at the supervisory level.
  • Background in retail merchandising is an asset. 

Skills & Requirements

  • Excellent negotiating and interpersonal skills.
  • Ability to communicate effectively in oral and written format.
  • Excellent organizational, planning and analytical skills and the ability to rearrange priorities.
  • Critical thinker with good judgment and strong initiative.
