The Business Operations Coordinator will support the administrative and operational functions of the assigned business unit and Lottery-managed retail store, ensuring business profitability, operational efficiencies and stakeholder engagement.

OVERRAL OBJECTIVE & PURPOSE

  • Reporting to the Business Operations Supervisor, the Business Operations Coordinator will support the administrative and operational functions of the assigned business unit and Lottery-managed retail store, ensuring business profitability, operational efficiencies and stakeholder engagement (internal and external).  
  • The Business Operations Coordinator will be an ambassador for the company, modelling IGT values and reinforcing the company’s mission and vision for the attainment and alignment of business goals and objectives.  

PRINCIPAL DUTIES & RESPONSABILITES

  • Coordinates the day-to-day operations and administrative responsibilities of the assigned business unit, ensuring the business is operated efficiently, effectively and in compliance with company goals, policies, procedures, KPIs and budgets 
  • Ensures consistent, timely, successful delivery of assigned business goals and KPIs, within deadlines and budgets and in strict compliance with business regulations (including Anti- Money Laundering regulations), policies, processes 
  • Liaises with internal and external stakeholders to ensure the timely delivery and execution of administrative and operational requirements to support the business, maintaining a high level of confidentiality, professionalism and approach demonstrative of the IGT values 
  • Coordinates, executes and follows up on business activities, including but not limited to projects, initiatives, meetings, corporate functions, promotions, employee engagement activities, ASA and sponsored initiatives, general partnerships, retail stores activations, etc, ensuring delivery within deadline and budge 
  • Assists in the coordination and reconciliation of business purchasing process (where applicable), including PR preparation and recording, invoice tracking, budget reconciliation 
  • Executes administrative functions as assigned and ensures business unit’s databases/ filing/ archiving systems are up-to-date and in compliance with business policy  
  • Prepares, coordinates and distributes internal and external reports, correspondence, policies, processes and other miscellaneous requirements    
  • Management and tracking of various business inventory, including stationary, general housekeeping, kitchen and medical supplies, branded promotional items and give aways etc 
  • Collects, reviews, sorts, and distributes incoming and outgoing correspondence, packages, freight etc., including physical and electronic  
  • Works closely with the Customer Service Department to: 
    • Ensure the Lottery-managed store represents the model agent location, through proactive, consistent execution in keeping with industry best practices and stellar customer service  
    • Ensure accurate and timely tracking, accounting and reporting of activities within the department, including sales, cash logs, promotions, customer feedback, inventory (including float, instant tickets etc.) 
    • Facilitate the daily reconciliation, balancing and other operational functions of Customer Service Representative team  
    • Supports sales, prize processing, winner engagement, agent payment, bad debt management, new retail agent prospecting, recruitment and onboarding process (as required)  
    • Enable existing retail agent relationship management and retention process through escalated issue management, resolution and support, including training, escalated issue/ query resolution, bad debt management and follow up  
    • Provide supplemental support for Game Draw function 
  • Maintains and updates branding, visibility and promotional material and collateral in business administrative offices and Lottery-managed store (working alongside various teams including Communications, Marketing, Sales) 
  • Prepares and coordinates staff rosters to ensure departments are adequately staffed and operations supported efficiently  
  • Champions IGT’s “Customer First” philosophy, maintains a high level of confidentiality and demonstrates IGT’s mission, vision, values 
  • Is an ambassador for our company, actively participating and supporting company activities, events and employee volunteerism initiatives  
  • Enables an environment of professional, innovative, timely, efficient service levels across the business 
  • Performs any additional duties and responsibilities as assigned 

  

  

IV.REQUERIMENTS

ACADEMIC BACKGROUND

Minimum Bachelor’s Degree 

EXPERIENCE

At least 2 years’ Supervisory experience, preferably in in business / office / customer service environments 

ESSENTIAL REQUIREMENTS

  • The candidate must be able to work and live in Barbados   
  • Moderate Computer Literacy skills, with experience using MS Office programs (including but not limited to Outlook, Word, Excel) 
  • Highly professional attitude with outstanding business etiquette, networking, negotiation, interpersonal and communication skills  
  • Focused, disciplined and self-motivated, maintaining a positive attitude and proactive, solutions -focused approach, even if performing under stressful circumstances  
  • Demonstrated ability to lead and successfully drive results a dynamic, competitive, fast-paced environment, working independently or with multidisciplinary and multicultural teams and partners (internal and external)  
  • Well organized with strong time management skills  
  • Creative, out of the box thinker, with a natural passion and drive for excellence, with a keen eye for detail  
  • Genuinely demonstrates a high level of integrity and maintains confidentiality of information acquired on the job 
  • Flexible to work extended hours based on business needs (evenings, weekends, public holidays)
