Business Services Officer

We are currently looking for a Business Services Officer on a full time permanent basis. The position sits within the Global Business Services department in our Trinidad & Tobago (Port-of-Spain) office. We can offer flexible working arrangements if required.

The Job

Reporting to the Regional Head of Business Services and Compliance - EEMA on a day to day basis, you will be involved in the following:

  • Administrative Support covering GBS budget preparation, monitoring and forecasting, banking matters, petty cash processing and other relevant support services;
  • Procurement administration including supporting tenders, purchase orders and all other procurement related administrative activities;
  • HR & Payroll administrative support covering new starters and leavers, and other HR related administrative processes;
  • IT administrative support covering escalation processes support, asset management, new starters and leavers support, and liaison with IT service partners in addition to other IT related administrative activities;
  • Travel and Conferencing Support including liaison with users and local travel agencies to prepare and administer travel arrangements for local team and VIP visitors;
  • General Administrative Duties covering support of GBS, Finance and local team including events support and organization;
  • Support the Business Services and Compliance Manager in meeting the legal compliance obligation of the office.

The person

Specifically actively listens; for example repeating what was heard to check understanding, particularly in difficult conversations.
  • Manages, tracks and attends to multiple pieces of information bringing order and clarity. Ensures that procedures are followed.
  • Responds to differences and changes in the internal or external context, taking a flexible approach to reach business outcomes. Specifically, acts flexibly in the moment, for example altering his/her behavior to fit the situation or get the job done. Is able to refocus to new priorities quickly.
  • Maintains control of emotions, even under difficult situations, in order to continue to perform effectively. Specifically, demonstrates resilience, for example dealing well with on-going business stress.
  • Diploma or degree level education on business or related field like Administration, Legal.
  • 3 years' experience in business support services.
