AIR NAVIGATION SERVICES (ANS) ASSISTANT

The Trinidad and Tobago Civil Aviation Authority (TTCAA) is mandated to regulate and administer a safe civil aviation system whilst ensuring that Trinidad and Tobago properly discharges its obligations under international civil aviation agreements and treaties.  The TTCAA is seeking recruit suitably qualified persons for the following position:

 

AIR NAVIGATION SERVICES (ANS) ASSISTANT

 

The ANS Assistant is responsible for providing administrative and office services to assist in the development and implementation of administrative systems, procedures and policies; and monitoring administrative projects to ensure effective and efficient operations in the ANS Division. 

KEY RESPONSIBILITIES:

 

  • Provide administrative support to the Executive Manager ANS/Managers through coordination with other TTCAA departments, service providers, local government agencies, states, international organization and external aviation stakeholders.
  • Assist in the preparation of ANS Departmental budgets, Board/Management Tender Committee Notes.
  • Prepare statistical reports on resources including personnel, supplies and equipment.
  • Prepare relevant documentation for shipment and track shipment accordingly.
  • Ensure that local or international travel documentations for ANS Staff are completed and submitted in a timely manner. Prepare travel reconciliation reports.
  • Maintain the ANS Division’s schedule by maintaining calendar; arranging meetings, conferences, teleconferences and travel.
  • Prepare minutes of meetings.
  • Organize and maintain a filing system to include confidential and operational records and training files.
  • Prepare the relevant documentation and assist with the processing and renewal of licenses and access passes.
  • Ensure the timely submission of performance appraisals for the Department.
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Maintain a record of all incoming and outgoing correspondence.
  • Prepare/Complete Correspondence, Memoranda, Requisitions, Reports, Site Access Forms and other documents.
  • Provide receptionist services.
  • Perform related tasks as necessary.

 

QUALIFICATIONS & EXPERIENCE:

 

  • A Diploma/Certificate in Administration/Business Management or any equivalent certification.
  • 5 GCE/CXC O’ Level subjects including English Language and Mathematics.
  • At least three (3) years’ experience in an administrative position.
  • Certificate in Computer Literacy including Microsoft Office Suite.
  • Training in Project Management will be an asset.
  • Excellent Reporting Skills, Administrative Writing Skills, Managing Processes, Organization, Analysing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication.
