Procurement Assistant

Procurement Assistant

 

 

Responsibilities

  • Receiving, reviewing, documenting, processing, and coordinating purchase requisitions;
  • Creating, dispatching, receiving, recalling, documenting, follow-up and coordinating purchase orders with external providers (local and international) and internal clients;
  • Assisting with the tendering process;
  • Screening offers from vendors and tenders;
  • Receiving, documenting and dispatching payments (local and international), including wire transfers;
  • Liaising with shipping carriers e.g. fedex;
  • Assisting with coordinating custom and brokerage;
  • Assisting with the monitoring of stock levels and identify purchasing needs;
  • Assisting with accepting and facilitating delivery and coordination of stock items;
  • Researching and liaising with potential and current external providers for quotations, invoices, etc;
  • Tracking orders and ensuring timely delivery;
  • Updating internal databases with order details (dates, vendors, quantities, discounts, etc) both physical and electronical;
  • Assisting in conducting market research to identify pricing trends;
  • Maintain updated records of purchase requisitions, purchase orders, quotations, invoices, payments, vendor evaluation, contracts, etc (physical and electronical);
  • Following-up with suppliers, as needed, to confirm or change orders;
  • Liaising with stores and other staff to ensure all products arrive in good condition;
  • Filing (physical and electronical);
  • Utilising applicable procurement software e.g. Sage 50;
  • Taking minutes of meeting;
  • Complying with quality and safety management systems, including document control;
  • Other applicable duties.

Minimum qualifications and other competencies

  • Associated degree in a relevant discipline, e.g. business, accounting
  • Certification in supply chain management, procurement, or other related topics will be an asset
  • Working knowledge of MS Office including excel and word
  • Working Knowledge of Sage 50 will be an asset
  • Excellent time management, organisational, interpersonal and communication (verbal and written) skills are required
  • Customer service and team oriented
  • At least 3 years’ experience working with database and/or in a procurement environment
