FACILITIES COORDINATOR

 

Job Profile 

The Facilities Coordinator will be the first point of contact for internal and external stakeholders seeking support and information from the Facilities department. He/she will oversee building and equipment maintenance. Their duties include scheduling preventative maintenance tasks, reacting to maintenance emergencies, and testing building security systems. The Facilities Coordinator will also give support in work order coordination, daily office maintenance, budgeting and providing general support. Additionally, under the supervision of the Facilities Manager, the Facilities Coordinator will manage all outside contractors in support of the Facilities Department, including coordinating project activities, and providing scheduling support.

 

Duties & Responsibilities

  • Manage building and equipment maintenance schedules.
  • Responding to urgent maintenance calls.
  • Preparing for emergencies by creating building evacuation and other action plans.
  • Testing building security systems and promoting safety within the building.
  • Managing equipment and supply needs, including furniture, kitchen appliances, office equipment and supplies.
  • Liaising with vendors and suppliers on behalf of Management.
  • Reporting to the Facilities Manager on a regular basis.
  • Supervising facilities attendants and grounds team.
  • Documenting processes and keeping maintenance records.
  • Monitoring maintenance budget spending.
  • Ensuring compliance with health and safety regulations, ensuring standards are met and arranging for repairs when needed.
  • Assists with application for required environmental permits, such as Fire and safety certificates.
  • Removing hazardous materials from all areas accessible to employees and guests.
  • Regular checking of devices, structures and systems (e.g. fire alarms and air-conditioners) on a regular basis and identify needs for repairs and renovations.
  • Ensures assigned equipment is in proper working order and available for use.
  • Maintain efficient and smooth operation of the physical jobsite ensuring a safe, clean, and functional environment.
  • Receive, manage, and process work order requests; ensures problems are resolved quickly.
  • Coordinate with external vendors, such as cleaners, external contractors needed to resolve specialized problems.
  • Ensures safety standards are followed throughout facility.
  • Participates on emergency preparedness planning team.
  • Maintains inventory of supplies; reorders as needed.
  • Check rooms and furniture to identify needs for repairs or renovations.
  • Design and oversee the schedule for cleaning and disinfecting the building.
  • Monitor proper waste disposal and recycling.
  • Coordinate office and parking space allocation.
  • Performs other related duties as assigned.

 

Required Qualifications:

  • At least 2 years’ experience as a Facilities Coordinator or similar role.
  • Strong knowledge of facilities management and project management.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word).
  • Understanding of building safety regulations and security protocols.
  • Well-organized and attention to detail.
  • Sound judgement and the ability to think quickly during emergencies
  • Excellent verbal and written communication skills.
  • Ability to perform well in a fast-paced environment.
  • Additional certification will be a plus.
  • Extensive experience in building and equipment maintenance.

 

Physical Requirements:

  • Prolonged periods standing and walking throughout facilities.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to bend, lift, stretch, and climb to maintain equipment and buildings.
  • Must be able to perform work in a variety of weather conditions.
