We are seeking a DYNAMIC individual to fill the roll of General Manager's Executive Assistant. ARE YOU THE ONE?????

The general manager’s secretary is typically charged with maintaining the general manager’s schedule, booking meetings and appointments, and serving as a gatekeeper, screening calls and prioritizing daily tasks and responsibilities. She will be responsible for distributing meeting agendas, scheduling meetings and recording and transcribing meeting minutes. She might also handle the general manager’s personal and business correspondence, including emails and memos.

Responsibilities:

  1. Provide secretarial support to the General Manager by encoding correspondences, reports & documents, handling or screening of incoming calls and random visitors, setting meeting with various department, clients etc.
  2.  Make follow-ups to different departments, company, person any pending documents as requested by the General Manager including the status thereof.
  3.  Manage all inward and outward correspondence of the General Manager’s Office in order to ensure timely and accurate receipt and dispatch of the same.
  4. Set-up and maintain General Manager’s Office correspondence files and personnel files of Staff and ensure safe custody and confidentiality.
  5. Compile daily E-Mails received in company ID and submit summary report to General Manager.
  6. Collect daily production reports from all plants; submit consolidated reports to the General Manager.
  7. Maintain and co-ordinate the General Manager's calendar schedules and appointments.
  8. Co-ordinate special reservation requests made through the Executive Office.
  9. Provide administration support to Human Resources.
  10. Complete other duties as assigned.

Experience & Qualifications:

  • Minimum 2 years relevant experience in the hotel industry
  • Good understanding of hotel operations, practices, and procedures
  • Proficient with MS Word, Excel, PowerPoint and Outlook and office equipment
  • Strong communication and inter-personal skills
  • Superb organization skill.
  • Certification in Secretarial/Administration skills
  • Fluency in English and Spanish

  • must be personable and have the ability to get along with a variety of personality types.
  • should be able to take direction and self-motivate, as well as handle her responsibilities with little oversight.
  • should be well-versed and have an in-depth knowledge of the company’s products, services, and policies.
  • Pleasing personality
