The incumbent is expected to coordinate the administrative and data entry functions and provide support to the Department.

Some Main Responsibilities include:

  • Prepare payment vouchers related to local clearances and shipping
  • Enter data related to purchase orders and shipping arrangements on VAI daily
  • Enter Customs clearance information updates daily on VAI
  • Attach/reference original shipments documents received from Broker to relevant Costing
  • Attach Customs receipts to Payment requests
  • Scan files for internal processing
  • Create and file Insurance Certificates
  • Reconcile department payments on freight and brokerage accounts fortnightly
  • Maintain accurate logs and reference files
  • Coordinate meetings, takes minutes and disseminate information
  • Monitor office supply and inventory
  • Manage and disburse petty cash
  • Assist department with administrative functions.
  • Perform other duties that may be required to enhance the operations of the Company.

Knowledge and experience:

  • Five (5) CXC subjects inclusive of English and Mathematics
  • Proficient at Microsoft Office
  • Experience in shipping or brokerage would be an asset.
  • A minimum of two (2) years’ experience in a similar position
  • Or relevant combination of training and experience

Competencies:

  • Knowledge of administrative and clerical procedures and systems
  • Proficient in Microsoft Office applications
  • Excellent organizational skills
  • Good communication skills
