The Inventory Coordinator plays a critical role in enabling operational efficiency through proactive inventory management, accurate reporting, and coordination with internal stakeholders.

Job Purpose:
The Inventory Coordinator is responsible for the end-to-end management, accuracy, visibility, and optimization of inventory across the warehouse, pipe yard, and associated storage locations. This role ensures materials are properly received, stored, tracked, issued, and reported in alignment with organizational inventory policies, operational standards, and business controls. The Inventory Coordinator plays a critical role in enabling operational efficiency through proactive inventory management, accurate reporting, and coordination with internal stakeholders.

Roles & Responsibilities:

  • Execute accurate receipt, issue, return, and transfer transactions for all materials, ensuring alignment with supporting documentation.
  • Perform regular cycle counts, stock checks, and annual inventory counts to maintain high levels of inventory accuracy.
  • Monitor and ensure zero discrepancies across all inventory locations.
  • Ensure proper storage, preservation, and handling of materials according to inventory policies and quality standards.
  • Track materials issued to operational teams, ensuring proper return, reconciliation, and cost allocation.
  • Utilize enterprise systems such as SAP (including SAP S4/HANA), Maximo, SharePoint, and Microsoft Excel to manage inventory transactions, reporting, forecasting, and analysis.
  • Maintain accurate and up-to-date inventory records across all systems.
  • Develop and maintain inventory tracking reports and dashboards to provide visibility and insights to stakeholders.
  • Support material master data management, including cataloguing and system updates.
  • Identify and manage excess, dormant, and obsolete inventory, supporting disposal and optimization initiatives.
  • Proactively challenge demand and recommend alternative materials or reuse strategies (e.g., FIFO) where appropriate.
  • Provide inventory visibility and updates to support operational planning and decision-making.
  • Maintain and archive all delivery notes, receipt/issue transaction forms, materials test reports, bills of lading, customs clearance, and other inspection or preservation documentation.
  • Run forecasting and analysis of known material demands.
  • Conduct investigations to reconcile variations between planned and actual material deliveries and implement corrective measures to improve accuracy.
  • Provide input into work scheduling and planning to ensure realistic material availability expectations.
  • Perform any other related duties as required and assigned.

Education & Experience:

  • Tertiary-level qualification in Supply Chain, Logistics, Business, or related discipline.
  • Minimum of 7 years’ experience in inventory or materials management, preferably in warehouse, pipe yard, or logistics environments.
  • Experience operating warehouse and inventory systems, including enterprise solutions.
  • Strong proficiency in Microsoft 365, Excel, and enterprise systems such as SAP, Maximo, and SharePoint.

  • Report any incidents, breaches, or unsafe conditions to management.
  • Proactively intervene when unsafe acts or conditions are observed.
  • Act as Emergency Warden when required.
