The Inventory & Accounting Documentation Clerk is responsible for collecting, organizing, scanning, and transmitting inventory and accounting supporting documents to the Trinidad Shared Services team.
Position Summary
The Inventory & Accounting Documentation Clerk is responsible for collecting, organizing, scanning, and transmitting inventory and accounting supporting documents to the Trinidad Shared Services team. The incumbent will ensure that all documentation is processed accurately, maintained in an organized manner, and submitted within required timelines to support inventory management, financial reporting, and audit requirements.
Key Responsibilities
Collect and organize inventory and accounting documentation for processing.
Scan and electronically file invoices, goods received notes (GRNs), purchase orders, stock transfer documents, inventory adjustment forms, delivery receipts, and other supporting documents.
Verify that documentation is complete, legible, and properly authorized before submission.
Forward scanned documents to the Trinidad Finance and Shared Services teams in accordance with established deadlines.
Maintain accurate records of all documents transmitted.
Organize and maintain physical and electronic filing systems for inventory and accounting records.
Assist with the retrieval of documents for audits, reconciliations, and management reviews.
Follow document retention and confidentiality policies.
Liaise with internal departments to obtain missing or incomplete documentation.
Support inventory and finance teams with administrative tasks related to document management.
Minimum Qualifications
Secondary school education with passes in English and Mathematics.
Certificate or coursework in Business Administration, Accounting, or a related field would be an asset.
Previous clerical, inventory, or accounting support experience is preferred.
Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word.
Knowledge, Skills & Competencies
Strong attention to detail and accuracy.
Good organizational and record management skills.
Ability to handle confidential financial information.
Basic understanding of inventory and accounting documentation.
