The Internal Audit Lead Technician is responsible for monitoring and critical analyzing the company's processes and procedures to ensure the compliance of internal controls to prevent and mitigate breaches and ultimately safeguard company resources.

The Internal Audit Lead Technician is responsible for monitoring and critical analyzing the company's processes and procedures to ensure the compliance of internal controls to prevent and mitigate breaches and ultimately safeguard company resources. 

JOB SPECIFICATIONS

 

Receipt Process

  • Weekly review and assess daily receipt postings, follow up, note, and report on variances for all transactions.
  • Monitor transfer and receipt system generated discrepancy reports and review, analyse, and follow up on findings. Report on resolution or outstanding elements weekly.
  • Monitor manual and system generated discrepancy reports for accuracy and review final verification of transfer/receipt orders in the inbound and outbound shipment accuracy reports.

 Discount Authorization Process

  • Thoroughly monitor and consistently check authorization of discounts, to ensure compliance for the different categories of discounts as well as compliance of procedures by authorizing personnel.

 Search Request/Credit Note Analysis Process

  1. Print and analyse search requests generated by all locations.
  2. Review and assess the process for items returned to bin physically and items returned to stock electronically.
  3. Review once weekly branch generated response to unable to locate items as assigned.
  4. Monitor store approved recommendations for adjustments or changes to inventory records. Follow up on adjustments carried out.
  5. Review and report once weekly damaged items. Report using system generated report and manually generated report by branch manager.

 Shipment Verification - Internationally and Locally

  • Conduct shipment verification exercise on all shipments received by the general warehouse and added to inventory as assigned.
  • Conduct scheduled checks on delivery truck and the supplies contained therein prior to departure for branch deliveries as assigned.
  • Conduct wholesale delivery verification for all authorized deliveries. Report on discrepancies noted prior to delivery, and monitor items returned following the delivery process.

 On Shelf Stock Verification – All locations

  • Identify and count items from the general inventory at the respective bin locations (both primary and secondary) and compare results with system balances and report discrepancies. Conduct checks once monthly - retail stores, weekly - warehouse.
  • Identify stock part numbers (OEM) and its substitutes compare and review against descriptions and make recommendations.

 Sales Review

  • Print and review daily sales and conduct spot checks on cashier balancing, observe and note discrepancies and or adherence to policies.
  • Review refunds and cancellations, check for adherence to policies.
  • Review stock sales analysis report
  • Print and review stock variation counts from Automate. Measure and test through selected samples.
  • Monitor and review back-order reports against discrepancies noted on previous order transfer documentations issued to the location.
  • Review sales performance for each sales representative.
  • Monitor and review lost sales report, analyse to determine reason and make recommendations.
  • Review daily unable to locate reports for each branch. Liaise with Warehouse supervisor and Branch Manager in Identifying root cause of the issue and develop plan to rectify.
  • Review lost stock report and select samples for testing. Apply audit technique and make recommendations.
  • Spot check and review car sales operations analyse and make recommendations.
