🧭 Role Overview

We are seeking a detail-oriented and organized Intern to support our HR / Crewing team with a structured audit and reconstruction of employee files.

This role will focus on ensuring all personnel records are complete, properly organized, and accurately digitized, contributing to the improvement of our overall HR documentation and filing systems. 


🔑 Key Responsibilities

HR File Audit & Completion

  • Conduct audits of physical and electronic personnel files
  • Identify and track missing or incomplete documentation
  • Liaise internally to retrieve outstanding records
  • Ensure all employee files are complete and properly compiled

File Organization

  • Organize and standardize physical personnel files
  • Ensure documents follow a structured filing format
  • Label and arrange files for easy retrieval
  • Remove duplicates and incorrect records where required 

Digitization & Scanning

  • Scan and upload documents into digital systems
  • Ensure records are clear, accurate, and correctly labeled
  • Maintain consistency between physical and digital files
  • Support development of a structured digital filing system 

HR Data Support

  • Update trackers, indexes, and spreadsheets
  • Maintain accurate records of file status
  • Assist with HR data entry and file preparation for audits 

Administrative & Confidentiality Duties

  • Handle sensitive information with strict confidentiality
  • Provide general administrative support to the team as required

🎓 Requirements

  • Currently pursuing or recently completed a degree in:
    • Business Administration
    • Office Administration
    • Maritime Studies or a related field
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Basic data management and computer skills
  • Strong attention to detail and accuracy
  • Understanding of documentation and record-keeping processes
  • Maritime exposure is an asset but not required
