Manage the undertaking of the collection process for all AR debts on a daily basis in accordance with targets set

Job Summary

The role involves managing the daily collection process for all accounts receivable debts, ensuring targets are met. Responsibilities include providing competitive and profitable quotations and insurance coverage for customer cargo, managing an efficient and profitable marine insurance process by thoroughly investigating and processing claims promptly, vetting credit applications and approving accounts, and delivering excellent customer support to ensure retention and foster new and repeat business.

Job Responsibilities 

BUSINESS RESULTS

  • Ensure collection targets are met
  • Ensure insurance requests are processed promptly & accurately & a proper insurance value set on the cargo to contribute to profitability, new/increased business & prevent any undue liability/loss ($) to the company if and when necessary
  • Ensure all insurance claims are thoroughly investigated & accurately processed in a timely manner 

CUSTOMER SERVICE

  • Promptly & courteously respond/follow-up with collections customers on a daily basis & handle & investigate queries, liaising with various departments as needed
  • Contact customers for collections, provide supporting documents if necessary & arrange for the collection of cheques
  • Provide excellent support service to customers in a courteous, prompt & efficient manner to enable customer retention & new/repeat business
  • Promptly & courteously respond, enquire & investigate possible insurance claims from customers
  • Negotiate, resolve & disburse claim settlements accurately & promptly
  • Submit all supporting claim documentation to ROANOAKE promptly for processing & provide up to date feedback to clients

INTERNAL PROCESS

  • Develop effective plans, programs, systems & strategies to improve the operations of the Collections Department
  • Oversee the collection activities & ensure that best collection practices & procedures are in place to achieve optimum results
  • Dispatch monthly statements, handle & resolve queries on payments made, monitoring customers’ account with respect to returned cheques, advance payments, application of credits, etc
  • Provide Collections/Insurance Manager with updated weekly collection activities & AR reports
  • Review & Monitor Credit accounts & applications
  • Maintain database to ensure that the account notes covering all of the interaction with debtors is kept up to date & accurate (address change, emails & contact information)
  • Address unresolved accounts by using appropriate measures to collect monies due
  • Review, investigate & negotiate credit requests for assigned customers & make recommendations
  • Assist with liaising with the Group Health Insurance provider for the processing of claims, cheques & to resolve queries when necessary
  • Review and investigate all queries on claims
  • Provide Insurance/Collections Manager with monthly & annual insurance reports as requested
  • Provide monthly profit report to Insurance/Collections Manager
  • Provide weekly update of collection activity and projections to the HR/Insurance & Collections Manager
Job Requirements
  • Knowledge of the marine insurance process
  • Diploma or degree in Accounting, Business Administration, Insurance, or a related field.
  • At least 2 years of experience in collections, credit control, or insurance—preferably in the logistics or freight forwarding industry.
  • Knowledge of cargo insurance practices and documentation is a strong asset.
  • At least five GCE/CXC passes, two of these in Mathematics & English
Skills, Knowledge and Abilities 
  • Knowledge of Magaya
  • Highly computer literate
  • Strong verbal & written communication skills
  • Tenacity & persistence in meeting targets
  • Strong negotiation skills
  • Sound general administration, planning, organising, time management skills & the ability to prioritise
  • Strong negotiating, problem solving & analytical skills
