Inside Sales Support Officer

INSIDE SALES SUPPORT OFFICER

(Regional Office, Montego Bay, Jamaica)

Basic Salary: $3,501,526  

JOB SUMMARY

Reporting to the Business Development Manager, the Inside Sales Support Officer is responsible for providing administrative support services to the Manager and sales activities of the unit. The incumbent is responsible for creating a positive impression by providing pertinent information about vacationing in Jamaica to callers and visitors. In addition, the incumbent is expected to provide administrative support to the Senior Business Development Officers.

KEY RESPONSIBILITIES 

  • Provide administrative support for the coordination of familiarization tours and other promotional events;
  • Prepare and confirm itineraries for Travel Agents, Special Groups, etc.;
  • Prepare welcome letters, inspection lists, and orders for Travel Agents, Journalists etc;
  • Confirm hotel accommodation, meals, and attraction tours for Travel Agents, Journalists etc. and liaise with them to ensure that all arrangements are in place;
  • Follow-up on transportation arrangements for Travel Agents, Journalists etc.;
  • Follow-up on ‘Fam Tour’ prerequisites, in collaboration with Business Development Manager and Business Development Officers;
  • Keep abreast of new hotels, attractions, and resort improvements on the island and update the marketing team overseas;
  • Maintain a database of hotels and attractions for the different resort areas;
  • Prepare purchase orders for transportation, meals, attractions etc., as directed by the Business Development Manager and the Senior Business Development Officers;
  • Prepare kits for travel agents, journalists, special groups, etc.;
  • Assist with ‘Meet and Greet’ for Travel Agents at the airport when required;
  • Assist with coordinating fly-ins, special events etc.;
  • Make arrangements for interviews, site visits, and ensure confirmation of arrangements and pre-payments;
  • Prepare letters requesting approval from various government agencies for visiting groups to obtain clearance for their equipment;
  • Secure airport passes and literature, and other materials to support the information requirements of the group;
  • Provide assistance at special events such as JAPEX, CTC and other tourism trade shows as required;
  • Provide support to Senior Business Development Officers for film crews and photo shoots from time to time;
  • Provide support to PR officers for film crews and photo shoots from time to time;
  • Report and direct complaints in connection with incidents occurring on fam trips, press trips, special groups, in accordance with the JTB’s guidelines;
  • Perform any other duties as assigned by the Business Development Manager and Senior Business Development Officers.

 REQUIRED EDUCATION AND EXPERIENCE

  • A First Degree in Administrative Management, Business Management, Tourism and Hospitality Management, Marketing and Sales or any other related discipline
  • Four (4) years of experience in a similar capacity

 KNOWLEDGE, ABILITIES AND SKILLS

  • Knowledge of the requirements of the various promotions conducted by the marketing/sales teams of the Jamaica Tourist Board
  • Knowledge of the software programs used by the Jamaica Tourist Board
  • Understanding of the customs and immigration requirements and procedures of Jamaica
  • Ability to maintain accuracy, professionalism, integrity, and confidentiality
  • Good interpersonal and customer relations skills
  • Excellent oral and written communication skills
  • Strong planning and organizing skills
  • Strong Problem-solving and decision-making skills
  • Ability to use initiative, tact and diplomacy
  • Excellent time management skills
  • Strong teamwork and cooperation skills
  •  Proficiency in Microsoft Office

SPECIAL REQUIREMENT

  • Extended working hours and work on weekends and public holidays
  • Must own a reliable motor vehicle
