INFORMATION ASSISTANT
JOB SUMMARY
Reporting to the Tourism Awareness Officer, the Information Assistant is responsible for enhancing the image of the Jamaica Tourist Board (JTB) by contributing to the achievements of marketing objectives, Tourism Action Club development objectives, and community projects. This is accomplished by providing timely and accurate information regarding the tourism product, while offering tourism support services to both internal and external stakeholders.
KEY RESPONSIBILITIES
Management/Administrative Responsibilities
- Greet visitors and refer them to appropriate staff members;
- Contribute to the monthly and ad-hoc reports for the Tourism Awareness Unit;
- Utilize approved filing systems and procedures to store information, maintain, and retrieve records;
- Research materials and draft appropriate responses to queries and requests for information, as requested by members of staff and the public;
- Provide support to the Tourism Awareness Officer as it relates to activities and events;
Technical Professional Responsibilities
- Implement the information desk processes at the JTB Corporate Head Office as directed by the Tourism Awareness Officer; Manager, Tourism Information Centre or Deputy Director of Tourism, Marketing;
- Secure and update general information about Jamaica, attractions, accommodations and tours to provide same via the telephone, email, or face-to-face;
- Provide visitors with accurate information on hotels, airline travel plans, tours, ground transportation, events and travel advisories;
- Assist with the distribution of information and promotional materials to interested individuals and organizations;
- Assist the Tourism Awareness Officer with the management of the Tourism Action Club website and social media platforms;
- Attend activities for the purpose of execution and also to build awareness about the organization and to gain valuable experiences for the job;
- Create graphic work in accordance with the social media plan for Tourism Awareness activities;
- Assist in gathering research material for the Tourism Awareness projects;
- Coordinate activities for the Tourism Action Club network as directed by the Manager and Tourism Awareness Officer;
- Engage external stakeholders and partners in securing support for Tourism Awareness activities;
- Perform any other duties that may be assigned by the Tourism Awareness Officer, Manager, Tourism Information Centre or the Deputy Director of Tourism, Marketing.
REQUIRED KNOWLEDGE, SKILLS, AND COMPETENCIES
Core
- High level of integrity, professionalism and confidentiality
- Excellent customer service skills
- Ability to communicate effectively both in writing and orally
- Excellent interpersonal skills
- Good knowledge of the Jamaican Tourism product
- Ability to maintain tact and decorum, especially in challenging situations
Technical
- Proficiency in Microsoft Office Suite
- Proficiency in Canva or any other graphic design platform
- Ability to manage customer flow and prioritize needs
- Working knowledge of the main tourism agencies and associations, and their respective role(s)
- Knowledge of major social media platforms
- Training in a foreign language
- Experience in social media management
- Experience in creating travel itineraries
REQUIRED EDUCATION AND EXPERIENCE
- Associate degree in Tourism, Business Administration, Communication Studies or Marketing
- Certification in Customer Service from a reputable institution
- At least two (2) years’ relevant experience in a comparable position
SPECIAL CONDITION ASSOCIATED WITH THE JOB
- May be required to work and travel outside of regular working hours.
