Job Summary

The Inventory Supervisor oversees the company’s inventory management operations and is responsible for maintaining accurate inventory records, optimizing inventory levels, coordinating stock replenishment, and ensuring compliance with regulatory requirements. The incumbent will ensure that inventory tracking systems and standard operating procedures (SOPs) are developed and implemented, which will govern the department.  

 Job Duties

  • Conduct regular physical inventory counts and reconcile discrepancies between physical stock and inventory records.
  • Develop, implement, and update inventory control procedures and policies to minimize losses and reduce costs.
  • Maintain accurate inventory records using electronic inventory management systems (e.g., ERP software Odoo) and manual documentation as needed.
  • Monitor inventory levels and coordinate replenishment orders based on demand forecasts, sales trends, and lead times.
  • Collaborate with the procurement & logistics team to ensure timely procurement of inventory items to meet customer demand.
  • Oversee the receiving process for incoming shipments of pharmaceutical products, ensuring accuracy and completeness of deliveries.
  • Enter receiving data into inventory management systems or electronic databases to update inventory records and facilitate inventory reconciliation and tracking.
  • Coordinate with the procurement & logistics and the warehouse teams to schedule receipt of shipments
  • Conduct thorough inspections of received shipments to verify product quality, quantity, and compliance with purchase orders, packing slips, and shipping documents.
  • Identify and document any discrepancies, damages, or discrepancies in received shipments and report to the procurement & logistics team.
  • Ensure proper handling and storage of sensitive or temperature-controlled products to maintain product integrity and prevent damage or spoilage during unloading and storage.
  • Coordinate with warehouse personnel to allocate storage locations for received inventory items based on storage requirements, product characteristics, and inventory replenishment priorities.
  • Prepare and maintain documentation related to inventory management processes, including standard operating procedures (SOPs), work instructions, and compliance records.
  • Generate regular reports and performance metrics related to inventory accuracy, stock levels, order fulfillment rates, and inventory turnover for management review and decision-making.
  • Collaborate closely with other departments, such as warehouse & distribution, procurement & logistics, finance, and customer service, to ensure alignment of inventory management activities with overall business objectives and customer requirements.
  • Participate in cross-functional meetings and initiatives to address interdepartmental issues and drive continuous improvement in overall supply chain performance.
  • Collaborate with the Regulatory Affairs team to coordinate the disposal of obsolete inventory in a cost effective and environmentally responsible manner ensuring compliance with the relevant regulations and company policies.
  • Lead and supervise a team of stock monitors, providing guidance, training, and performance feedback to ensure high standards of productivity and accuracy.
  • Foster a culture of accountability, teamwork, and continuous improvement within the inventory department.
  • Develop and implement training programs to enhance the skills and knowledge of inventory staff.
  • Any other duties that may arise within the scope of work.

Education/Training/Experience

  • Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field
  • Minimum of three (3) years of experience in inventory management, preferably in the pharmaceutical or healthcare industry.
  • Strong knowledge of inventory control principles, including inventory valuation methods and cycle counting.
  • Proficiency in using inventory management software and ERP systems (e.g., Odoo) for inventory tracking and analysis.
  • Proficient in Microsoft Office Suite, including Excel and Access
